About the Firm Rahnema Law, PLLC is a boutique law firm in Lake Havasu City focused exclusively on Arizona probate and trust administration. We help families across Arizona navigate the legal process after losing a loved one. Our team is small, supportive, and proud of the calm, thoughtful service we deliver to clients during a difficult time. The Role We are hiring a part-time Legal Secretary / Administrative Assistant to support our attorney, paralegal, office manager, and intake coordinator. This is a hybrid position that blends front-office administrative work with light legal secretarial duties. You will be a steady, organized, friendly presence who keeps the office running, makes clients feel taken care of from the first call onward, and handles the dozens of small things that allow the rest of the team to focus on legal work. What You'll Do Answer and route incoming calls professionally, including occasional calls from clients who are grieving or upset Greet clients and visitors at the front desk Schedule consultations and follow-up appointments Scan, organize, name, and save documents according to our established file-naming conventions Maintain digital and physical case files with strict attention to organization Process incoming and outgoing mail, including certified mail Run errands as needed, including court filing and clerk runs at Mohave County Superior Court and other county offices, post office, bank, and supply runs Assemble client packets, signing folders, and case binders Provide general administrative support to the attorney and team Maintain strict confidentiality regarding client matters What We're Looking For 2 or more years of administrative or office experience (legal experience is a plus, not required) Comfortable on the phone, including with clients who are emotional, confused, or in distress Strong organizational instincts and ability to follow established systems exactly — particularly file naming and scanning conventions Detail-oriented and able to juggle phones, walk-ins, and document tasks at the same time Proficient with Microsoft Word, Outlook, and basic scanning/PDF tools Comfortable learning new software (we use Clio, Lawmatics, and Google Drive) Professional, warm demeanor with clients, court personnel, vendors, and coworkers Reliable, punctual, and able to keep client information strictly confidential Valid driver's license, reliable transportation, and willingness to run local errands (mileage reimbursed) Comfortable working in a probate-focused environment where the subject matter regularly involves death, family conflict, and grief High school diploma or equivalent required What We Offer $18-25 per hour, depending on experience Mileage reimbursement for firm-related driving Flexible part-time schedule, 20-30 hours per week, Monday through Friday Friendly, low-drama office environment Opportunity to grow with a respected, established probate firm Free parking and comfortable workspace How to Apply This application is also a test of how well you follow written instructions.
