Administrative Assistant Responsibilities:
  • Answer and direct incoming phone calls to the appropriate staff member.
  • Manage calendars and schedule appointments for attorneys and clients.
  • Greet clients and walk-ins with a warm, professional, and welcoming demeanor.
  • Communicate regularly with the supervising attorney and coordinate messages and information with the appropriate team members.
  • Sign up new clients by phone and assist with the intake process.
  • Handle client calls across all stages of the case process.
  • Create and maintain electronic and hard-copy client files.
  • Manage files and ensure all information is organized and up to date.
  • Document every client interaction, including phone calls, in-person conversations, and text messages, in the appropriate client file.
  • Receive documents from clients, make copies as needed, and ensure all documents are promptly provided to the appropriate staff member. Original client documents should never be retained.
  • Prepare checks for client disbursements when appointments have been confirmed.
  • Prepare and send health insurance letters as needed.
  • Make daily bank deposits.
  • Pick up and distribute mail daily.
  • Maintain conference room supplies, including refrigerator and table supplies.
  • Maintain office supplies and ensure new-client folders for workers' compensation, general injury, and automobile accident cases are prepared and ready for use.
  • Ensure return envelopes, technology, and other office materials are stocked and ready for the business day.
  • Complete additional administrative and client-service tasks as needed.
Legal Receptionist /
Administrative Assistant Requirements:
  • 1+ year of experience working within a law firm.
  • Professional and personable with excellent customer service skills.
  • Highly organized and able to manage multiple priorities in a fast-paced office.
  • Extremely detail-oriented, particularly when working with client files and legal documents.
  • Comfortable communicating with clients by phone, in person, and electronically.
