Job Description
Provides administrative and legal support to the Legal Department with a primary focus on assisting with the company's capital recovery program. Reviews and organizes damage case files, prepares routine correspondence, and manages communication with at-fault parties under attorney direction. Supports attorneys in settlement coordination, assists with outside counsel communication, and completes a variety of legal administrative tasks including processing legal mail, coordinating document execution, managing legal invoices, and assisting with regulatory filings. Uses sound judgment when handling confidential information and prioritizing tasks. Works under the general supervision of Senior Corporate Counsel. Essential Job Functions Capital Recovery Support
Review and organize case files, including photographs, damage reports, and related documentation, and prepare summary information for attorney review.
Prepare and send attorney-approved correspondence, including initial outreach letters and follow-up communications.
Manage incoming inquiries from at-fault parties and route issues appropriately to counsel.
Assist attorneys with routine settlement coordination and scheduling discussions.
Intake, log, and process recovery checks.
Maintain current knowledge of procedures and internal guidelines related to capital recovery activities.
Provide administrative support for litigation matters, such as organizing discovery materials, managing document production, and maintaining case files.
Coordinate with outside counsel on scheduling, document requests, and administrative case management tasks as directed. Administrative
Serve as a Notary Public (or obtain commission within 90 days of hire)
Receive, log, and process all incoming and outgoing legal department mail
Coordinate wet-signature execution of legal documents
Process land acquisition documents
Assist with regulatory filings as directed
Track and manage outside counsel fees and litigation expenses
Process all invoices associated with legal matters
Generate financial reports for audits as needed
Maintain and organize legal files, including establishing and maintaining an electronic filing system
Perform other related duties as needed to support the Legal Department Requirements
Associate degree, legal assistant certificate, or an equivalent combination of education and experience; Bachelor's degree preferred.
Minimum two to three years of experience as a legal assistant or administrative legal support professional; experience with claims, collections, or litigation support is a plus.
Ability to handle a variety of administrative tasks with strong attention to detail and minimal supervision.
Strong written and verbal communication skills, including the ability to prepare clear, professional correspondence.
Excellent organizational and interpersonal skills, with the ability to manage multiple tasks and deadlines.
Must be self-motivated, reliable, and able to work efficiently under pressure.
Ability to work collaboratively within a legal team and maintain strict confidentiality.
High proficiency in Microsoft Office Suite and comfort working with document or case management systems. Other Skills/Abilities
Notary Public (or willingness to obtain)
Experience supporting attorneys in claims handling, insurance defense, or capital recovery
Experience in the telecommunications, construction, and/or technology industries
Familiarity with regulatory compliance processes
Experience using legal case management or document management software Physical Requirements
