Job Description
Description We are looking for an organized Administrative Assistant to support a legal team serving clients in Charlottesville, Virginia. This Contract to Permanent position is ideal for someone who can manage a high-volume caseload environment, keep records current, and communicate clearly with clients, attorneys, and internal team members. The role focuses on coordinating case-related administrative work, preparing routine legal correspondence, and helping ensure each matter progresses on schedule with accurate documentation.
Responsibilities:
- Partner with the lead case manager and administrative leadership to track case progress and help carry out established action plans for client-related legal matters.
- Monitor outstanding requests and follow up with the VA office to help obtain needed updates, documents, and task completion in a timely manner.
- Provide clients with clear case status updates and respond professionally to routine questions through phone and written communication.
- Prepare, format, and review letters, basic legal documents, and other correspondence for accuracy, grammar, and completeness.
- Maintain complete case files by copying, organizing, and uploading required records into the case management system while keeping daily activities current.
- Report progress, priorities, and emerging concerns to supervisors, and raise scheduling risks early so solutions can be developed before deadlines are affected.
- Support a high-volume caseload by working across approximately 100 to 250 active matters with strong attention to detail and consistent follow-through.
- Use case management software and VA submission processes to update tasks, process documentation, and assist with file movement and status tracking.
- Prepare for recurring team discussions by gathering relevant case updates and sharing information needed for daily meetings with department leaders.
- Contribute to overall team operations by assisting with additional administrative duties and providing coverage for colleagues when needed. Requirements
- Prior experience in administrative support, office coordination, legal support, or case-related clerical work.
- Ability to manage large volumes of detail accurately while balancing multiple priorities and deadlines.
- Strong written and verbal communication skills, including the ability to draft clear correspondence and proofread thoroughly.
- Proficiency with data entry, document management, and general office or case management software.
- Comfortable handling inbound calls, client communication, and receptionist-style responsibilities in a workplace setting.
- Working knowledge of legal terminology and legal document handling is preferred.
- Demonstrated discretion and commitment to maintaining confidentiality with sensitive client and organizational information.
- Ability to work independently, escalate issues appropriately, and collaborate effectively with supervisors and team members.
