The ideal candidate must thrive in a fast-paced environment and be capable of prioritizing conflicting demands, meeting multiple deadlines, juggling a variety of tasks, and produce with a high degree of accuracy. Applicants with 3 or more years of clerical and/or administrative office experience will be considered. Previous experience in a law firm is highly preferred but not required for consideration. Join our team and enjoy a sense of belonging, product ownership, and appreciation. Responsibilities This full-time non-exempt position offers 40 hours per week with benefits. Office hours are 8:30 AM to 5:00 PM, Monday through Friday, with no weekend work required. Responsibilities include, but are not limited to, supporting a team of paralegals while performing the following administrative tasks: Draft various documents (i.e. warrants in debt, Notice of Medical bills and affidavits, drafts and disbursements, cover letters for pleadings, to serve via the Secretary of the Commonwealth, legal notices, documentation for infant settlements, and bills of particulars). Draft cover letters for various filings, such as complaints, service requests, SDTs, and subpoenas. Schedule and coordinate meetings, appointments, and conferences (i.e. hearing dates, trial preparatory appointments for clients, trial dates, conferences with experts, and return dates). Organize and assemble documents and files, such as demands, trial notebooks, medical records, and scan files to FileVine (case management software). Prepare responses to routine correspondence and discoveries. Establish insurance claims for liability, uninsured motorist, Med pay, Medicare/Medicaid, and etc. The following tasks are representative of most of the clerical support provided by this position: Provide routine service to clients and their cases (i.e. client contact, answer client and other incoming calls and respond to voice messages, monitor for completion of treatment, and answer related routine correspondence). Obtain various information, documents, and records (i.e. medical and affidavits, insurance, background interrogatories, lost-wage data, traffic court disposition information, and lien information). Provide documents as requested, such as ERISA letters, and records to experts. Assist with case maintenance and provide follow-up for confirmation of bills and records receipt, ongoing case updates, receipt of demands, Circuit Court filings and service of process, answers to plaintiff's discoveries, and closing documents (i.e. releases, disbursements, and dismissal orders). Other duties as required. Skills Must be extremely organized with superior time management skills. Must be deadline driven. Must work well in a team environment. Must have excellent communication and customer service skills. Ability to draft and manage large volumes of documents and digital records. Ability to multi-task with interruptions. Ability to prioritize competing projects. Ability to handle sensitive and confidential information with utmost responsibility.
Experience Required:
3 years of experience performing similar tasks.Preferred:
Practical experience in a law firm or legal department.Education Required:
High School with 3 or more years of directly related experience.Preferred:
Legal Assistant certification or coursework and 1 or more years of experience; or Paralegal certification or coursework and some experience.Language Required:
