Job Description

  • Answer phones for law firm / escrow office
  • Undertake a variety of legal and administrative tasks
  • Support 2 paralegals for a real estate law firm of 5 attorneys
  • Conduct potential client intake calls/intake management
  • Data entry and maintain electronic database and file system
  • Effectively communicate with clients, colleagues and others as needed
Abilities Summary:
  • At least one-year experience in a law firm setting preferred
  • Ability to multi-task with strong attention to detail and consistent follow-through
  • Experienced/Independent self-starter who can manage multiple tasks in tandem with very little supervision
  • Be a problem-solver with the ability to identify problems, offer solutions, and efficiently solve them in a timely manner without assistance
  • Assess, manage and prioritize daily tasks in an ever shifting environment
  • Ability to follow instructions and must be able to retain information provided
  • Outstanding time-management skills
  • Punctual
  • Sensitivity to confidential matters is required
  • Experience using TABS, Microsoft Office applications, Zoom and standard office equipment
  • Advanced organizational skills, with proven experience bringing calm to chaos
  • Experience planning virtual meetings and events
  • Excellent written and verbal communication skills, with the ability to effectively and efficiently communicate at all levels Major Job Duties
  • Route phone calls as required, in the most professional manner
  • Incoming and outgoing paralegal/attorney mail, shipping, messenger or courier services
  • Set up law firm files, initiate contact with clients to include fee agreements and payments or deposits
  • Invoice and process credit card payments from clients and additional accounting
  • Calendar and track deadlines and provide timely reminders, schedule meetings, coordinate use of conference room
  • Scan/copy documents
  • Manage law office supply inventory
  • Maintain flexibility to assist with special projects, as needed
  • Perform other duties as assigned

$20.00 - $24.00 per hour
