Job Description:
Role Description This is a full-time, in office role for a Law Firm Administrator, based in Jupiter, FL. We are seeking an experienced, proactive, and hands-on Law Firm Administrator to oversee the day-to-day operations of a fast-paced and growing law firm. This highly visible leadership role works closely with firm leadership and attorneys to ensure operational excellence, team support, financial oversight, and continued office growth. The ideal candidate is a strategic thinker who is equally comfortable rolling up their sleeves to solve problems, improve processes, and support a high-performing professional environment. Key Responsibilities Operations & Office Management Oversee all day-to-day office operations to ensure seamless support for attorneys, staff, and clients Partner with firm leadership on strategic and operational initiatives Streamline workflows, improve processes, and drive operational efficiencies Coordinate office services including reception, mail, shipping, facilities, and vendor management Manage office space planning, inventory control, and special projects Ensure compliance with safety procedures, business continuity plans, and firm policies Human Resources & Team Leadership Lead, supervise, and develop administrative and support staff Partner with Human Resources on recruiting, interviewing, onboarding, training, and performance management Foster a collaborative, professional, and positive office culture Handle employee relations matters with professionalism and discretion Manage timekeeping, PTO tracking, evaluations, and staff development initiatives Support attorney onboarding and departure processes Financial & Administrative Oversight Assist with budgeting, expense management, and financial reporting Monitor office expenses and support cost-effective operations Manage vendor contracts, invoices, and payments Maintain strong operational controls and attention to detail Utilize accounting and reporting systems to support office management functions Attorney & Client Support Assess attorney support needs and coordinate administrative resources effectively Support local business development and marketing initiatives Coordinate office events, meetings, and community involvement activities Serve as a liaison between attorneys, staff, firm leadership, and administrative departments Qualifications Minimum of 5-7 years of law firm management experience or comparable professional services management experience Demonstrated leadership experience in office operations, human resources, facilities, and financial management Strong interpersonal, communication, and organizational skills Ability to exercise sound judgment, maintain confidentiality, and build positive working relationships at all levels Proven ability to manage multiple priorities in a fast-paced environment Strong supervisory and project management abilities with exceptional attention to detail Working knowledge of employment practices, operational best practices, and general accounting principles Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel Experience with legal industry software and accounting systems preferred What We Offer Opportunity to work directly with firm leadership and influence operational strategy High-impact role with the ability to drive meaningful change and office growth Collaborative and team-oriented culture Competitive compensation commensurate with experience Comprehensive benefits package This is an excellent opportunity for a motivated leader who thrives in a professional, fast-paced environment and is looking to make a lasting impact within a growing law firm
