Job Description

The Fleet Services Support Specialist schedules preventative maintenance, inspections, repairs on tribal owned vehicles, and equipment. The incumbent will also process all maintenance documentation into the vehicle and maintenance tracking software, approves requests, schedule motor pool vehicle use, monitor and maintain fuel card record usage, repair cost documentation, and issues monthly report to government departments. Maintain the fleet preventive maintenance and vehicle service data, schedule preventative maintenance, inspection, repairs on tribal vehicles, and equipment using the Fleet Management software. Record repairs and maintenance documentation by inputting repair data into the Mitchell Program, which include parts replacement, labor hours, maintenance cost, and repairs under warranty. Monitor fuel card usage and update fuel records. Determine priority and schedule vehicles for maintenance or repair. Write, review, update semi-annual and annual reports, summarize activities, and program progress. Schedule and coordinate vehicle repairs completed by outside repair facilities. Order, receive, and issue automotive parts and supplies in a commercial, automotive repair facility. Maintain supplies, distribute equipment, and gas cards. Maintain vehicle markings and decals. Perform other duties of a similar nature or level as requested by supervisor or director.
Knowledge of:
Business office practices and procedures; Knowledge of customer service and equipment procedures, and techniques; Knowledge of parts, equipment, supplies, and maintenance requirements of light/medium automobiles and truck; Applications of automated work order systems; General accepted fleet management policies, procedures, and record keeping practices; Planning responsibilities include scheduling maintenance inspections and repairs; Yaqui culture, customs, resources and traditions and/or a willingness to learn.
Skills and Abilities:
Write maintenance reports, safety updates, and replacement requirements; Ability to effectively use electronic fleet management softer to perform job duties; Ability to communicate effectively orally and in writing; Perform basic arithmetic calculations; Delegate assignments and coordinate activities; Handle multiple tasks and meet deadlines; Maintain confidentiality of information; Model strong work ethics and maintain and team-oriented environment; Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; Prepare routine reports and correspondence; Operate a variety of office equipment, including a computer and related software applications; Good communication and interpersonal skills as applied to interaction with co-workers, supervisor, management, Council members, and the public. Have ability to sufficiently exchange or convey information and receive verbal and written work instructions. High School Diploma or GED, understanding of preventative vehicle maintenance; and experience sufficient to successfully perform the essential duties of the job such as those listed above. AND Experience in maintaining records and implementing maintenance procedures preferred.
Special Requirements:
Excel Spreadsheets experience required; Must possess and maintain a valid Arizona Driver's License; This position will require the incumbent to work non-traditional hours, nights, and weekends.
