Job Description

We're looking for a Service Appointment Scheduler who is upbeat, tech-savvy, and eager to jump in and help our customers and team. If you love a fast-paced atmosphere and enjoy connecting with people, this role is a great fit! Responsibilities Greet customers on the phone with warmth and professionalism Outbound calls to customers following up on servicing and any other necessary call tasks Provide personal assistant support as needed to help maintain smooth office operations Handle a high volume of inbound and outbound calls with professionalism and efficiency Accurately schedule service appointments based on technician availability and required repair times Monitor service capacity throughout the day to avoid overbooking or service delays Assist customers with transportation needs such as shuttle service, loaner vehicles, or rideshare coordination Conduct preliminary customer needs assessments to determine appropriate services (e.g., diagnostics, maintenance, recalls) Communicate clearly with service advisors, technicians, and parts department to coordinate workflow Confirm parts availability for certain repairs prior to booking appointments Enter detailed and accurate notes in the dealership management system (DMS) or CRM Handle rescheduling and cancellations while minimizing schedule disruptions Skills & Qualifications Ability to maintain a positive, energetic demeanor during high call volume periods Comfortable with technology and able to learn new software quickly Must be able to handle continuous phone communication throughout the day Reliable, punctual, and committed to consistent attendance Strong work ethic with a drive to exceed performance and appointment conversion goals Ability to collaborate with service advisors, parts department, and management Prior experience in a call center, automotive service environment, or customer service role is a plus
