Wheels Boutique is seeking an organized, proactive, and customer-focused Customer Service & Operations Coordinator to support our accounting, sales, and operations teams. This position plays an important role in keeping customer projects organized and moving forward—from tracking vendor orders and expected delivery dates to scheduling appointments and keeping customers and sales representatives informed. Responsibilities Track parts, wheels, tires, and other products ordered from vendors and monitor expected delivery dates. Follow up with vendors regarding order status, delays, backorders, and estimated arrival dates. Assist the Accounting Department with maintaining accurate records of outstanding and received vendor orders. Keep sales representatives updated on the status of products ordered for their customers. Proactively communicate with customers regarding order status, scheduling, delays, and other relevant updates. Maintain and coordinate the company appointment and installation calendar. Schedule customer appointments based on product arrival and shop availability. Contact customers when their vehicles are completed and coordinate vehicle pickup. Answer incoming customer calls and assist with general questions or route inquiries to the appropriate team member. Maintain organized records and follow up on outstanding items to ensure nothing falls through the cracks. Coordinate between Accounting, Sales, Service/Installation, vendors, and customers . Assist with data entry, documentation, filing, and other general administrative duties. Perform additional administrative and customer-service tasks as needed. What We're Looking For We are looking for someone who is extremely organized and strong at follow-through . This person should be comfortable managing multiple customer projects and vendor orders simultaneously and taking the initiative to follow up rather than waiting to be asked. The ideal candidate has excellent phone and written communication skills, strong attention to detail, good computer skills, and the ability to work in a fast-paced automotive environment. Previous experience in automotive, customer service, administrative support, order management, or service coordination is preferred but not required. Bilingual English/Spanish is a plus.
