Vehicle Maintenance Support Specialist Job Description This role provides front-line support for vehicle maintenance and repair requests by handling calls from customers, drivers, and vendors. The Vehicle Maintenance Support Specialist ensures that repairs are necessary, safe, and appropriately priced, while accurately managing purchase orders and invoices. The position plays a key role in maintaining strong vendor relationships, supporting internal teams, and delivering a high level of customer service in a fast-paced environment. Responsibilities Respond to incoming calls from customers, drivers, and vendors regarding vehicle maintenance and repair requests. Issue purchase orders for maintenance and repair transactions that exceed customer card limits. Verify that all authorized repairs are necessary for safe vehicle operation and are priced according to recognized industry guides. Accurately enter, update, and maintain purchase order records for documentation and historical tracking. Process and verify maintenance and repair invoices to ensure accuracy and completeness. Collaborate with internal teams to support client satisfaction and ensure efficient service delivery. Maintain and strengthen relationships with vendors to support timely and quality service. Escalate and resolve service issues with vendors as needed to minimize downtime and service disruptions. Assist with special projects related to vehicle maintenance, process improvement, or service delivery. Provide technical guidance and support to customer-facing teams on maintenance and repair-related questions. Follow up on supplier billing inquiries and discrepancies to ensure timely resolution. Ensure all activities comply with internal procedures and documentation standards. Essential Skills Strong mechanical knowledge and understanding of automotive maintenance and repair. Excellent communication skills, both written and verbal. Strong administrative and organizational abilities to manage multiple tasks and records accurately. Effective problem-solving skills to resolve maintenance, billing, and service issues. Excellent time management skills and attention to detail. Proficiency with Microsoft Office Suite. Customer-focused mindset with a professional, service-oriented attitude. Experience handling customer service, purchase order, invoice, and billing issues. Additional Skills & Qualifications Familiarity with automotive service databases such as Chilton, Mitchell, or AllData. Experience in a call center environment. Experience in a fleet maintenance environment. Spanish bilingual skills. Valid driver's license. Eligibility to work in the United States. Work Environment This is a fully onsite position based in West Des Moines, working five days a week. The schedule follows Monday through Friday daytime hours, providing a structured workweek in an office environment. The role involves frequent phone and computer use, collaboration with internal teams, and regular interaction with vendors and customers to support vehicle maintenance operations.
