Job Description

We are seeking a highly organized and customer-focused Service Dispatcher to join our service team. In this role, you will be responsible for planning, organizing, coordinating, and controlling the flow of service work through the service department to ensure repairs are completed efficiently, accurately, and on time. The ideal candidate thrives in a fast-paced environment, communicates effectively with customers and team members, and is committed to delivering exceptional service. Key Responsibilities Service Operations & Dispatching Maintain an effective dispatch system Schedule shop work to maximize productivity while aligning assignments with technician skill levels Monitor workflow and prioritize all comeback repairs to ensure prompt and proper resolution Maintain the flow of express service work and distribute excess work to the main shop as needed Open and close repair orders accurately and efficiently Maintain an organized and up-to-date repair log Ensure repair orders contain complete documentation, including customer concern, cause, correction, and technician punch times Review technician-completed repair orders to verify assigned work has been completed properly Monitor job progress, update repair status logs, and communicate changes in time or cost estimates to service advisors and customers Prepare repair estimates when required Coordinate with service advisors when repairs may exceed promised delivery times Support efforts to maintain high levels of customer satisfaction Coordinate parts requirements with the Parts Department Assist in identifying needed equipment, supplies, and facility repairs for management review Understand and comply with all applicable federal, state, and local regulations, including OSHA and hazardous waste disposal requirements Maintain a clean, organized, and professional work area Demonstrate professionalism, punctuality, and a positive team-oriented attitude Perform additional duties as assigned Qualifications Required Skills & Abilities Valid state-issued driver's license with a clean driving record Strong customer service and interpersonal communication skills Ability to effectively interact with customers to identify needs and facilitate solutions Strong organizational and multitasking abilities Ability to work efficiently in a fast-paced and sometimes stressful environment Proficiency with Microsoft Office Suite and related business software Strong attention to detail and accuracy in documentation High school diploma or GED required 3+ years of related experience Physical Requirements Prolonged periods of standing and working at a computer. Ability to lift up to 25 pounds occasionally. Ability to move throughout the service department as needed.
