Job Description
Automotive Office Manager - Service Advisor Reputable, well-respected, full service, vehicle maintenance and repair shop, in business for over 30 years, and providing the highest level of quality and service to each and every customer, is seeking an experienced office manager-service advisor, to serve as the primary administrative contact for our customers, vendors, and internal teams, while ensuring a smooth daily operation of our shop. Reporting to the president, in this role, you will be responsible for coordinating repair orders, estimates, technician recommendations, scheduling, vehicle delivery, payment collections, maintaining an efficient workflow and accurate documentation of profitable shop operations, and creating a positive and exceptional experience for our clientele throughout their visit(s). We provide a generous salary, earning potential, and a great working environment. Essential responsibilities Greet customers professionally in person and by telephone. Listen and address any customer concerns, should they arise, and accurately document vehicle symptoms/issues. Create repair orders, service tickets, and customer estimates using shop management systems. Communicate technician findings, repair recommendations, pricing, and completion timing to our customers. Obtain customer authorization before repairs begin and before any additional work is performed. Coordinate workflow between customers, technicians, vendors, fleet accounts, and management. Provide timely customer updates regarding repair status, delays, approvals, and vehicle completion. Contact parts suppliers for pricing, availability, delivery timing, and needed parts information. Process customer payments and close repair orders in accordance with company procedures. Maintain customer notes, declined work records, service histories, approval records, and repair documentation. Essential Qualifications High school diploma or equivalent Proficiency, and the ability to read and write English fluently. Minimum of five (5) years of automotive mechanical experience, service advising experience, or directly related automotive customer service experience preferred. Ability to communicate effectively with customers, technicians, vendors, fleet contacts, and management. Competent in accurately documenting customer concerns, vehicle symptoms, technician findings, estimates, and approvals. Basic computer proficiency, data entry, and the ability to use service software or point-of-sale systems. Must be able to perform basic calculations involving parts, labor, taxes, approved discounts, invoice totals, and payments. Comfortable and multi-tasking in a fast-paced automotive repair environment with frequent interruptions and changing priorities.
