Job Description

Maintenance Coordinator Location:
In Office -
Lancaster, PA Schedule:
Monday-Friday, 8:00 AM - 5:00
PM Pay:
Starting at $20.00 per hour, based on experience Position Summary We are seeking a highly organized and customer-focused Maintenance Coordinator to oversee the scheduling and coordination of maintenance operations across our portfolio of residential properties. This position serves as the central point of communication between residents, maintenance technicians, vendors, and management to ensure maintenance requests are handled efficiently and professionally.

The ideal candidate is detail-oriented, comfortable managing multiple priorities, and capable of maintaining a high level of customer service while coordinating a fast-paced maintenance department. Bilingual candidates (English and Spanish) are strongly preferred. Key Responsibilities Maintenance Scheduling & Resident Communication Receive, review, and prioritize incoming maintenance requests. Coordinate and schedule maintenance technicians for daily service calls and repairs. Communicate with residents regarding maintenance requests, appointment scheduling, and repair updates. Gather additional information from residents when needed to accurately diagnose maintenance issues. Coordinate with supervisors and management when owner approval is required before work can proceed. Dispatch vendors when specialized services are needed. Monitor work order progress and ensure maintenance requests are completed in a timely manner. Follow up with residents to confirm work completion and satisfaction. Maintain accurate records of work orders, technician notes, costs, and timelines. Technician & Vendor Coordination Manage daily technician schedules and adjust priorities as needed throughout the day. Coordinate access to occupied and vacant properties. Develop and maintain relationships with reliable vendors and contractors. Obtain and review vendor quotes for maintenance projects and repairs. Track vendor performance and ensure quality work is completed within expected timelines. Resolve scheduling conflicts and vendor-related issues promptly. Work Order Administration & Invoicing Review completed work orders for accuracy and completeness. Enter technician labor hours, receipts, and expenses into work orders. Close completed work orders and ensure all documentation is properly recorded. Assist with tracking maintenance costs and project expenses. Support invoicing and reporting processes within the maintenance department. Lawn Care Coordination Schedule weekly lawn care routes and assignments. Track lawn care team schedules and labor hours. Assist with invoicing and administrative support related to lawn care operations. Coordinate scheduling adjustments due to weather or changing priorities. QualificationsRequired Strong organizational and multitasking skills. Excellent verbal and written communication skills. Ability to work effectively in a fast-paced environment. Strong customer service and problem-solving abilities. Proficiency with computers, email, and scheduling software. Ability to manage competing priorities while maintaining attention to detail. Professional demeanor and positive attitude. Preferred Bilingual (English and Spanish). Previous experience in scheduling, dispatching, property management, construction, maintenance coordination, or a related field. General knowledge of residential maintenance, repairs, or construction practices. Experience working with property management or maintenance software.
