This vital role involves monitoring site activities, coordinating with contractors and stakeholders, and maintaining comprehensive documentation. The ideal candidate will possess excellent communication skills, strong administrative capabilities, extensive carpentry/maintenance skills, and a proactive approach to problem-solving. Responsibilities Work directly on workflow, inspections, work orders, and preventative maintenance of Bethlehem Area Moravians (BAM), Moravian Development Corporation (MDC), Nisky Hill, and Moravian Village (MVB)properties. This includes being the primary maintenance contact for BAM properties as needed. All workflow and records will be recorded electronically. You will be responsible for updating and recording these records. Perform monthly inspection of BAM, MDC, Nisky Hill, and Moravian Village properties as needed and report to management as well as complete preventative maintenance as needed on each property. Provide maintenance, inspection, and upkeep of the buildings and grounds to eliminate potential health and safety hazards. Provide and maintain move-in and move-out inspections of units to promote a timely turnaround of vacant units. Prepare for city inspections, electrical, plumbing, windows, doors, appliances, lighting, condition of walls, carpet, and tiling of each unit as well as any additional repairs that may be required for federal, state, and local compliance codes. Fill out and complete "make ready" reports for each vacant unit. Notify management of any units that are vacant and ready for occupancy or are suspect of health, fire, safety, and housekeeping violations. Maintain, run, and inspect all necessary equipment for the proper operation of the buildings/grounds. Maintain sufficient inventories of tools, parts, and supplies in order to properly maintain the properties. Notify management when inventory levels are low or need to be replenished. Necessary Inventory should be secured and managed on the BAM/MDC owned vehicle. Assist with regularly scheduled testing and inspection for the operation of elevators, fire equipment, generators, compactors, motors, electrical panels, air handlers, A/C units, and others as needed. Execute replacement of filters, insulation, belts, ceiling tiles, floor tiles, painting, floor waxing, carpet & window cleaning, lot painting, signs, fan motors, water heaters, lighting, water drainage, and others as needed. Work a daily, weekly, monthly, and annual work schedule provided by owner/management (BAM) and provide daily on call emergency assistance to these project buildings namely BAM, MDC, and Nisky Hill properties as well as any other properties as described by management. Provide to management a written schedule of days off, vacation, and needed personal appointments. All time off must be approved by management prior to scheduling. Provide secure lock up of all buildings before leaving the site and maintain a proper file for all keys and locks. Keys and Locks should be secured and maintained a mutually acceptable location where management can access them. Under no circumstances should a master key be misused, lent, copied, or given to anyone. BAM employees are not permitted to enter a unit by themselves if no one is home unless emergency circumstances are warranted. Attend necessary training workshops and seminars as needed to fulfill the duties of the position. Manage tasks and timing completion of all maintenance jobs as well as develop a check system for those jobs. I.e. Punch Lists, Make Ready Reports, Annual Inspections. Responsible for performing various painting, patching, clean-up tasks as required. Maintain a positive attitude as well convey the Bethlehem Area Moravian Philosophy daily. Always Maintain BAM management confidentiality. Maintain safety and training in accordance with federal, state, and local safety regulations. Insures that all hazardous materials are properly labeled, stored, and handled. • Maintain records of resident rental activity, special permits, maintenance and repair projects, property vacancies and necessary rental documents. Notify management/COO of any resident lease violations. Required to serve on call after normal business hours. This will be on an on-call position. Use of personal cell phone is also required. This position will require responding to emergency calls from Answering Services, residents, Management Staff, and Service Provider Staff. Use of various skills including painting, cleaning, carpentry, plumbing, HVAC, etc. to complete work orders, preventative maintenance, and vacancy turnover. • Authorization of invoices and review of purchasing activities to ensure maximum advantage for BAM. Continuously market BAM properties to building interest, wait lists, and ensure properties are rented to fullest capacity. Complete Move-In and Move-Out procedures including lease execution, lock changing within 24 hours and coordination/oversight of vacancy turnover. Work with and coordinate business opportunities with other entities within the BAM organization such as Nisky Hill Cemetery, BAM properties, Moravian Development Attend staff meetings when necessary. Assist with new construction and/or renovation of properties as assigned. Other projects, work requests from management as assigned Experience Proven experience in construction supervision or site inspection roles as a Clerk of the Works or similar position Strong office management background with electronic work order recording and data entry Familiarity with construction documentation, blueprints, and technical drawings Excellent computer skills including proficiency in Microsoft Office 365. Demonstrated organizational skills with the ability to manage multiple tasks efficiently Prior experience in construction trades is a plus Knowledge of safety regulations and quality assurance standards within construction environments Join us in ensuring excellence is maintained in our historic district.
