POSITION SUMMARY
The Facilities & Logistics Lead is responsible for ensuring APOC's buildings, grounds, equipment, and ministry spaces are safe, functional, organized, compliant, and ready to support worship services, ministry activities, staff operations, and community events. Although the title is Facilities & Logistics Lead, this role requires facilities management-level experience. The ideal candidate will bring a combination of hands-on maintenance or handyman experience, vendor coordination, facility operations, safety awareness, inventory management, budget tracking, and strong organizational follow-through. This position is responsible for both day-to-day facility readiness and the development of stronger facility systems, including preventive maintenance processes, vendor tracking, safety and compliance follow-up, inventory controls, event readiness, and documentation. The first year of the role is expected to require a full-time commitment as APOC continues building and stabilizing facility operations, systems, and processes. The Facilities & Logistics Lead directly supports the mission of APOC by ensuring that every physical space is safe, welcoming, organized, and prepared for ministry use. ESSENTIAL DUTIES & RESPONSIBILITIES
The Facilities & Logistics Lead will be responsible for, but not limited to, the following day-to-day responsibilities and ongoing lane responsibilities: Facility Readiness and Daily Operations Ensure APOC facilities are prepared for worship services, meetings, ministry events, and community activities. Conduct regular walkthroughs of buildings, grounds, classrooms, sanctuary, lobby, restrooms, kitchen, storage areas, and common spaces. Identify and document maintenance, safety, cleanliness, setup, and building readiness needs. Ensure rooms are properly set up, stocked, clean, and functional before scheduled use. Support opening, closing, and building readiness procedures as assigned. Confirm that lighting, HVAC, security systems, equipment, and commonly used spaces are functioning properly. Respond promptly to facility-related concerns, urgent issues, and maintenance requests. Maintenance and Repairs Perform basic maintenance and repair tasks, including general handyman work, minor plumbing, minor electrical, carpentry, fixture repairs, and basic facility troubleshooting. Identify repair needs that require a licensed vendor, contractor, electrician, plumber, HVAC technician, or other specialized support. Develop and maintain a preventive maintenance schedule for key building systems and recurring facility needs. Track completed maintenance work, open repair items, warranties, service history, equipment manuals, and recurring maintenance schedules. Support seasonal maintenance needs, including snow removal coordination, lawn care, exterior upkeep, and weather-related building preparation. Vendor and Contractor Management Source, evaluate, and recommend vendors and contractors for facility repairs, maintenance, safety, inspections, and capital projects. Coordinate scheduling and access for approved vendors and contractors. Obtain quotes for work as required by APOC's purchasing and approval process. Monitor vendor performance and confirm work is completed properly before final approval or payment processing. Help identify vendors that should be replaced, improved, or placed under a more formal service structure. Maintain vendor contact information, service agreements, invoices, warranties, and related documentation. Communicate vendor updates and project status to Lane 4 leadership. Safety, Code, and Compliance Support Help ensure APOC facilities remain safe, functional, and aligned with applicable safety expectations, inspection needs, and facility standards. Coordinate with appropriate vendors or inspectors regarding fire alarms, fire extinguishers, emergency lighting, sprinkler systems, security systems, and other safety-related systems. Maintain records of inspections, service visits, identified deficiencies, corrective actions, and unresolved safety concerns. Ensure exits, hallways, emergency pathways, classrooms, restrooms, and public areas remain safe and unobstructed. Report safety concerns, code-related issues, building risks, and urgent compliance matters to Lane 4 leadership promptly. Support development of inspection checklists and facility safety documentation. Inventory, Supplies, and Equipment Maintain an organized inventory of facility supplies, cleaning supplies, maintenance tools, equipment, safety items, and frequently used setup materials. Track supply usage and identify reorder needs before supplies are depleted. Support bulk purchasing and cost-effective supply management. Maintain organized storage areas for tools, equipment, facility supplies, and ministry setup materials. Use Excel, Google Workspace, or other approved systems to create and maintain simple inventory tracking processes. Conduct periodic inventory checks and report supply needs to Lane 4 leadership. Budget Tracking and Facilities Planning Assist Lane 4 leadership with identifying facility-related budget needs, recurring costs, repair priorities, vendor costs, and future maintenance needs. Track facility-related spending, quotes, invoices, supplies, and projected costs as directed. Identify deferred maintenance concerns and help prioritize facility improvements. Provide recommendations for future repairs, upgrades, vendor replacements, equipment purchases, and capital improvement needs. Support responsible stewardship of APOC resources by seeking cost-effective solutions without compromising safety or quality. Event and Ministry Logistics Support Coordinate facility setup and breakdown needs for worship services, ministry meetings, outreach activities, trainings, and special events. Work with ministry leaders to understand space, equipment, table/chair, AV, access, and safety needs. Conduct pre-event readiness checks and post-event walkthroughs when needed. Help establish a clear process for ministries to request facility setup, equipment, and logistical support. Ensure facility logistics support ministry activities without creating confusion, last-minute issues, or unnecessary operational gaps. Security and Access Coordination Support building access processes, including keys, codes, vendor access, after-hours access, and access changes as directed by Lane 4 leadership. Maintain or support access logs if assigned. Identify security-related concerns and communicate recommendations to Lane 4 leadership. Coordinate with approved vendors or internal leaders regarding security systems, alarms, locks, access controls, and building entry procedures. Policies, SOPs, and Documentation Develop, maintain, and update facility-related SOPs, checklists, trackers, and operating procedures. Use approved APOC systems, including Excel and Google Workspace, to document work, track open items, and report progress. Create clear transition-ready documentation for recurring facility tasks, vendors, inspections, inventory, and maintenance schedules. Ensure facility documentation is organized and accessible to appropriate leadership. Provide regular updates to the Operations & Administration Lane Owner regarding open projects, risks, completed work, and upcoming needs.
MEASURES OF SUCCESS
Facilities remain safe, functional, clean, organized, and ministry-ready. Maintenance needs are identified early and addressed in a timely manner. Vendors are properly coordinated, tracked, and held accountable. Safety and inspection-related items are documented and escalated appropriately. Inventory and supplies are tracked consistently. Facility requests and event logistics are handled with fewer last-minute issues. Facility records, SOPs, and recurring processes become more organized and sustainable. Lane 4 leadership receives clear updates regarding facility priorities, risks, and open items.
TRAVEL DEMANDS
Occasional local travel may be required for vendor coordination, purchasing supplies, offsite event support, emergency facility needs, or facility-related errands approved by Lane 4 leadership.
EDUCATION / EXPERIENCE
High school diploma or GED required; associate degree, trade certification, facilities certification, construction background, or related technical training preferred. Minimum of 5 years of facilities, maintenance, building operations, construction, handyman, or related experience preferred. Strong hands-on maintenance or handyman experience preferred. Experience coordinating vendors, contractors, repair work, or facility service providers. Experience maintaining facility records, checklists, spreadsheets, or basic tracking systems. Experience in a church, nonprofit, school, community center, event venue, or multi-use facility environment preferred. Experience supporting building safety, inspections, fire systems, alarms, HVAC, plumbing, electrical, or code-related follow-up preferred. Experience managing inventory, supplies, vendors, budgets, or facility improvement projects preferred.
COMPUTER / TECHNICAL SKILLS
Comfort using email, calendars, Google Workspace, Excel, spreadsheets, shared folders, and simple project or task trackers. Ability to document issues, submit requests, track open items, and communicate status updates clearly. Comfort using online portals for ordering supplies, coordinating with vendors, accessing manuals, or tracking service requests. Basic familiarity with building systems such as thermostats, lighting controls, security systems, alarms, HVAC, plumbing, electrical, and safety equipment preferred.
WORK ENVIRONMENT
Work is performed primarily onsite in a church/ministry environment, including sanctuary, lobby, classrooms, offices, restrooms, kitchen, storage areas, exterior grounds, and back-of-house spaces. Noise levels and activity may vary depending on services, events, or ministry activities. Some weekend, evening, or urgent facility availability may be required based on ministry needs.
PHYSICAL DEMANDS
This position may require standing, walking, bending, lifting, climbing stairs, using ladders, moving equipment, setting up rooms, carrying supplies, and performing hands-on maintenance tasks. The role may require lifting up to 50 pounds occasionally, with appropriate support and safe work practices.
SUPERVISORY RESPONSIBILITIES
This position does not currently have direct supervisory responsibility. However, the Facilities & Logistics Lead may coordinate vendors, contractors, volunteers, cleaning support, or other facility-related helpers as assigned.
Pay:
$22.00 - $25.00 per hour
