Senior Maintenance Manager Join the Team at Old Sawmill District Old Sawmill District is a locally owned boutique property management company based in Missoula, Montana. Our portfolio includes upscale apartments, student housing, condominiums, commercial office space, and mixed-use properties throughout the Old Sawmill District. From luxury residential communities and modern commercial spaces to vibrant gathering areas, we strive to maintain properties that residents, tenants, and visitors are proud to call home. We are seeking an experienced Senior Facilities & Maintenance Manager to provide leadership and strategic oversight for maintenance operations, building systems, housekeeping services, special projects, and tenant improvements across the portfolio. This position serves as the senior leader of our facilities department and oversees our maintenance technicians, housekeeping staff, vendors, and contractors. The ideal candidate combines strong leadership skills with practical knowledge of building systems, preventative maintenance, commercial construction, project management, and facilities operations.

Position SummaryThe Senior Facilities & Maintenance Manager is responsible for the overall performance, maintenance, appearance, and functionality of the OSD Property Management Inc. portfolio. This role oversees daily maintenance operations while also leading larger facility initiatives including tenant improvements, projects, building upgrades, vendor management, budgeting, and long-term asset planning. The successful candidate will work closely with ownership, property management staff, tenants, contractors, architects, engineers, and consultants to ensure properties are maintained to a high standard and projects are completed successfully.

Leadership & Team Management Directly oversee the Maintenance Supervisor and housekeeping team Provide leadership, training, coaching, and performance management Establish departmental goals, procedures, and service standards Conduct regular property inspections Foster a culture of accountability, professionalism, and exceptional customer service Build and maintain positive relationships with residents, commercial tenants, and business clients by providing responsive communication, professional service, and timely resolution of facility-related concerns. Partner with property management staff and tenants to understand operational needs, coordinate maintenance activities, communicate project impacts, and support long-term tenant satisfaction and retention. Facilities & Building Systems Oversee the operation, maintenance, and performance of: HVAC systems Boilers and mechanical equipment Plumbing systems Electrical systems Fire and alarm systems Access control and security systems Elevators and building infrastructure Develop and manage preventative maintenance programs Troubleshoot complex facility issues and coordinate repairs Maintain operational records, maintenance schedules, and compliance documentation Identify opportunities to improve building performance, efficiency, and reliability Property Maintenance Operations Oversee daily maintenance activities across the portfolio Ensure timely completion of work orders and preventative maintenance tasks Coordinate unit turns, repairs, and common area maintenance Manage seasonal maintenance programs including landscaping, irrigation, snow removal, and exterior property upkeep Partner with property management staff to prioritize maintenance needs and support resident and tenant satisfaction Tenant Improvements & Construction Project Management Serve as the primary point of contact for tenant improvement and construction projects Coordinate office buildouts, suite remodels, tenant improvements, and capital improvement projects from concept through completion Work with tenants, ownership, architects, engineers, and contractors to define project scope, budgets, and schedules Solicit and evaluate contractor bids and project proposals Manage project timelines, budgets, permitting requirements, and contractor performance Coordinate inspections, punch lists, project closeout documentation, and warranty follow-up Ensure projects are completed safely, efficiently, on schedule, and within budget Vendor & Contractor Management Establish and maintain relationships with contractors, service providers, and vendors Negotiate contracts and review service agreements Monitor contractor performance and project quality Coordinate specialized services including HVAC, plumbing, electrical, elevator, landscaping, and life-safety contractors Maintain competitive bidding and procurement practices Capital Planning & Asset Management Assist ownership with capital planning and long-term asset management strategies Develop repair and replacement recommendations for major building systems Assist in preparing maintenance and capital improvement budgets Monitor project costs and identify opportunities for operational efficiencies Support long-term property improvement initiatives and portfolio growth QualificationsPreferred Experience 5+ years of facilities, maintenance, construction, property management, or building operations experience 3+ years of supervisory or management experience Experience managing maintenance teams and outside contractors Experience coordinating tenant improvements, capital projects, or commercial construction projects Experience with commercial and residential properties preferred Knowledge & Skills Strong understanding of HVAC, plumbing, electrical, mechanical, and building systems Proven leadership and team management abilities Project management and construction coordination experience Budgeting and vendor management experience Strong organizational and problem-solving skills Excellent communication and customer service abilities Ability to manage multiple priorities across a diverse property portfolio Proficiency with technology, work order systems, and Microsoft Office At Old Sawmill District, we take pride in creating exceptional places to live, work, and gather. Pay:
$90,000.00 - $110,000.00 per year
