Job Description

At Sureway Property Management and Realty our core purpose is to help owners and investors reach their goals by taking the worry out of property management. We're a team of dedicated professionals who genuinely care, choosing to do what's right, not just what's easy. In your role, you'll be an integral part of the Field Department, working closely with a fellow property manager to oversee and coordinate all resident-requested and daily maintenance tasks. The Maintenance Manager position is a vital in-office administrative role that supports the full scope of Sureway's Maintenance Department across all operational regions. Based in our Marlton office during regular business hours, the Maintenance Manager also plays a key part in our emergency response efforts. Due to the nature of property management, availability after hours is essential to ensure the well-being of our tenants, clients, and properties.
Primary Responsibilities:
1) Maintenance Intake Maintain a well-organized system for tracking and documenting all maintenance-related communications with co-workers, tenants, clients, and vendors. Manage incoming work orders and maintenance requests via SureWay's maintenance software systems Respond promptly and professionally to all calls, texts, and emails from tenants, clients, and vendors 2) Maintenance Dispatch Ensure all work orders are tracked, scheduled, and properly assigned to appropriate vendors or staff Dispatch the appropriate vendor based on the work order details Ensure vendors respond, communicate and complete work as described 3) Maintenance Estimates Request and review estimates from vendors and contractors Negotiate terms and pricing when applicable Coordinate approvals with owners and confirm authorization before work begins 4) Maintenance Invoices Collect and review invoices for accuracy and completeness Oversee processing and timely submission of invoices Reconcile vendor accounts payable and track payments 5) Maintenance Performance Oversight Monitor vendor performance and ensure timely, quality completion of work Perform quality control checks and review work completion Communicate photos and updates with relevant contacts (tenant, client, etc.) 6) New Tenant Move-In Maintenance Organize and execute requests from tenants moving into their new property Review list with owners, obtain estimates, complete work as approved Save photos, documents and reports to appropriate folders and software 7) Annual Rental Registration Maintenance Manage tracking systems for annual municipal rental registrations Prepare and submit paperwork in compliance with local requirements Coordinate necessary inspections, repairs, and follow-up as needed 8) Emergency Maintenance Bonus Plan Be available to serve as the on-call property manager on a rotating weekend schedule Monitor and respond to After Hours Emergency Maintenance requests Take appropriate action to mitigate risks to tenants, the property and owner. Utilize the After-Hours Emergency Maintenance Tracker to properly document work orders responded to 9) Vendor Relations Foster relationships with existing vendors and onboard new vendors Ensure all vendor documentation is collected, verified, and up to date Negotiate service agreements and potential revenue-sharing opportunities 10) Departmental Efficiency & Reporting Maintain accurate systems and ensure data is organized per company policy Generate reports and provide data-driven insights to management Identify and implement improvements to department processes and technologies Seek opportunities to increase maintenance-related revenue for
