Job Description
Stellar is seeking a highly operational and strategic Director of Facilities & Maintenance to lead maintenance execution across our multifamily portfolio. This role is responsible for driving consistency, improving property performance, protecting asset value, and building scalable maintenance systems that support long-term operational success. Position Overview The Director of Facilities & Maintenance is a senior leadership role responsible for driving operational excellence, consistency, and long-term asset value across all maintenance functions within the portfolio. While on-site maintenance teams report directly to Property Managers, this role serves as the centralized functional leader and subject matter expert over maintenance operations. This Director ensures alignment with company standards, establishes best practices, and elevates execution across all properties. This position transforms maintenance from a reactive service function into a proactive, performance-driven discipline that protects assets, controls costs, and enhances the resident experience. Key Responsibilities Operational Leadership & Standardization Establish and enforce standardized maintenance processes, SOPs, and best practices across the portfolio Evaluate current operations to identify gaps, inefficiencies, and inconsistencies Drive disciplined execution in: Work order management Unit turn performance Preventative maintenance execution Vendor utilization and oversight Implement scalable systems to ensure consistency across all assets Preventative Maintenance Strategy Design and implement a comprehensive, portfolio-wide preventative maintenance program Define standards, schedules, and accountability measures Reduce reactive maintenance and extend the lifecycle of major building systems Ensure all properties are operating with a forward-looking maintenance approach Financial & Asset Performance Partner with Asset Management to align maintenance strategy with investment objectives Provide insight into capital planning, deferred maintenance, and risk mitigation Improve cost control through standardized processes, vendor management, and efficiency gains Monitor maintenance KPIs and drive performance accountability Training & Talent Development Partner with the Director of Training to build and implement a structured maintenance training platform Develop technical training, safety standards, and role-specific skill progression Ensure all maintenance personnel are properly trained, equipped, and continuously improving Support recruiting, onboarding, and retention of high-performing maintenance teams Vendor & Capital Project Oversight Establish vendor standards, pricing expectations, and performance accountability Oversee execution of capital repairs and large-scale maintenance initiatives Ensure projects are completed on time, on budget, and to company standards Drive consistency in vendor relationships across the portfolio Cross-Functional Leadership Serve as a strategic partner to Property Management and Asset Management. Provide guidance on operational risks, maintenance trends, and performance drivers Support lease-ups, repositioning efforts, and operational turnarounds as needed Align maintenance execution with overall company strategy and growth objectives Key Success Metrics Reduction in reactive maintenance and emergency work orders Improvement in unit turn times and readiness Portfolio-wide adherence to preventative maintenance schedules Maintenance cost control vs. budget Resident satisfaction related to maintenance services Consistency in execution across all properties Qualifications 10+ years of progressive experience in facilities, maintenance, or property operations leadership Multifamily experience strongly preferred Proven ability to build and implement scalable operational systems Strong financial acumen with experience in budgeting and capital planning Deep knowledge of building systems, maintenance operations, and vendor management Demonstrated leadership in training, team development, and organizational alignment Leadership Traits Operationally disciplined and process-driven Proactive, not reactive High accountability mindset Strong communicator and cross-functional collaborator Solutions-oriented with a focus on continuous improvement Position Impact This role is critical to elevating maintenance into a strategic advantage for the organization—ensuring assets are protected, teams are aligned, and operations are executed with consistency and excellence.
