Job Summary Dispatcher / Assistant Office Manager1-Tom-Plumber Louisville is looking for a highly organized, customer-focused dispatcher / assistant office manager to help lead our office operations and support our growing team.

This is more than a dispatcher position. We're looking for someone who can manage multiple priorities, build strong customer relationships, support our technicians and sales team, and help improve processes as our company continues to grow.

Key ResponsibilitiesAct as Lead Dispatcher for both day, night, and weekend operationsProvide guidance and support to our nighttime/weekend dispatcher and assist with training future dispatchersAnswer customer calls, book appointments, and build rapport with residential and commercial customersMaintain accurate customer records, billing contacts, property information, and account notes within ServiceTitanWork with facility maintenance companies that schedule service onlineCollaborate closely with sales representatives to ensure customers are well-served and jobs are booked promptlyRespond to website inquiries, Google Business Profile leads, Local Service Ads (LSA), and AI-generated bookings while maintaining an 80%+ booking rateManage and maintain the dispatch board to ensure technicians are running efficiently and on timeMonitor technician productivity and maintain daily performance recordsTrack technician locations and assist when scheduling adjustments are neededMonitor the company email inbox, process supply house invoices, attach materials to jobs, and enter invoices into QuickBooksReceive payments, build deposits, review and batch jobs for export, assist with commercial billing, and follow up on residential estimatesMonitor all communications and properly classify incoming callsFile gas water heater permits and coordinate inspections with customersAssist with ServiceTitan functions and job reviewsCover phones during evenings and weekends as neededHelp streamline office processes and create best practices as the company growsOther duties as assignedIdeal CandidateStrong customer service and communication skillsExceptional organizational and multitasking abilitiesComfortable managing multiple systems and priorities simultaneouslyPositive attitude and problem-solving mindsetExperience with ServiceTitan, QuickBooks, dispatching, or the home service industry is preferredSalary$55,000-$60,000 based on experienceBenefitsHealth, Dental & Vision Insurance2 Weeks Paid VacationPaid HolidaysBonus OpportunitiesCareer Growth OpportunitiesJoin an
