Our work is fast-paced, highly detailed, and deeply collaborative, with every department working together to deliver an exceptional experience from the initial order through final pickup. We are seeking an organized, proactive, and highly detail-oriented Event Production Assistant to support our Production Department. This position plays an essential role in keeping event logistics, delivery and pickup schedules, staffing information, documentation, timekeeping, and expense reporting accurate, organized, and complete. About the Role The Event Production Assistant provides day-to-day administrative and logistical support to Casa de Perrin's Production Coordinators. This is a fast-paced, detail-intensive support role requiring excellent follow-through, sound judgment, and the ability to manage recurring responsibilities alongside changing event priorities. The right person will enjoy bringing structure to many moving pieces, identifying discrepancies before they become problems, and following every assignment through to verified completion. They will understand when to work independently, when to ask questions, and when an issue needs to be escalated. While our work supports beautiful events, this position is primarily focused on the detailed logistical and administrative work that makes those events possible. It is best suited for someone who genuinely enjoys schedules, spreadsheets, documentation, follow-up, and ensuring that every detail is correct. Responsibilities Create weekly delivery and pickup schedules, verifying that dates, times, addresses, contact information, staffing details, and special instructions are accurate and consistent across all applicable company documents and systems. Assist with sending, receiving, reviewing, and entering logistics forms for smaller events and delivery or pickup orders as directed by the Production Coordinators. Compare information across schedules, orders, logistics forms, internal documents, and other company systems to identify missing, conflicting, or inaccurate details. Follow up with the appropriate parties to obtain outstanding information and escalate unresolved discrepancies before they affect an event. Create shifts in the company's timekeeping system and actively monitor rep confirmations, communicating and following up as needed. Support the overall organization and flow of field-representative scheduling and timekeeping processes. Maintain the Upcoming Job Details spreadsheet, Production Dropbox folders, departmental procedures, and other shared documents so information remains current and easily accessible. Compile and thoroughly review representative expense reports, confirm compliance with company policies, identify missing or incorrect information, and coordinate necessary corrections. Manage recurring responsibilities while adapting to new assignments, urgent requests, and special projects. Maintain ownership of assigned tasks through completion, including tracking outstanding items, documenting updates, communicating status, and confirming that all necessary steps have been completed. Communicate clearly and professionally with Production Coordinators, internal departments, field representatives, vendors, and clients when directed. Support additional projects and operational needs at the direction of the Production Coordinators and General Manager. What Success Looks Like Information remains accurate and consistent across all relevant documents and systems. Deadlines, follow-ups, and outstanding details are actively tracked rather than left to memory. Potential issues are identified, communicated, and escalated before they become event-day problems. Recurring responsibilities are completed consistently and with the same level of care each time. Urgent assignments are handled calmly without losing track of existing responsibilities. Tasks are followed through to verified completion rather than treated as finished once they have been started or passed along. The Production Coordinators receive dependable support that meaningfully improves the organization and efficiency of the department. Feedback is received professionally and incorporated into future work. Qualifications Demonstrated experience managing detailed, deadline-driven administrative, logistical, scheduling, or operational responsibilities. Exceptional attention to detail and the ability to identify discrepancies across multiple documents or information sources. Strong organizational, time-management, and task-management skills. A reliable system for tracking deadlines, follow-ups, recurring responsibilities, and outstanding information. Strong written and verbal communication skills. Sound judgment regarding when to act independently, when to ask questions, and when to escalate an issue. Ability to manage changing priorities calmly while maintaining accuracy and follow-through. Comfort completing repetitive and process-driven work with consistency and care. Ability to receive direction and feedback from multiple team members while maintaining ownership of assigned responsibilities. Proficiency with spreadsheets, shared documents, workplace communication tools, and digital file-management systems. A collaborative, team-oriented approach and a commitment to providing excellent internal and external service. Experience in event rentals, event production, logistics, operations, scheduling, or administrative coordination is preferred but not required.
