Job Description
Job Summary The Order Entry Specialist is responsible for accurately entering, validating, and maintaining customer orders in a high-volume manufacturing environment. This role requires strong knowledge of Bills of Materials (BOMs), product configuration, and manufacturing workflows. The Specialist ensures all orders are complete, accurate, and aligned with production capabilities. They collaborate directly with Sales, Production, Inventory Control, Scheduling, and Customer Service to ensure smooth order flow from receipt to manufacturing release. Essential Duties & Responsibilities Order Processing & Data Entry Enter customer purchase orders accurately into ERP systems (e.g., Epicor, SAP, or similar). Review orders for completeness, correct product configuration, pricing, and lead times. Verify compatibility of selected options, components, and upgrades based on approved BOMs. Ensure correct coding of product models, materials, components, and labor items. Bill of Materials (BOM) & Product Configuration Interpret and verify Bills of Materials to ensure proper item selection and manufacturing readiness. Identify discrepancies in BOMs, missing parts, or invalid configurations and communicate needed corrections. Work with Engineering and Inventory Control teams when BOM changes or revisions occur. Maintain up-to-date knowledge of product lines, features, materials, and revision levels. Cross-Department Coordination Coordinate with Production Scheduling to ensure order prioritization aligns with capacity and material availability. Communicate order changes, holds, lead times, and special instructions to Production and Customer Service. Collaborate with Purchasing and Inventory Control when backorders or material shortages impact production. Work with Quality Control to ensure custom instructions or non-standard requirements are properly documented. Customer & Sales Support Support Sales and Customer Service by clarifying product configurations, available options, and required order information. Respond to order-related inquiries and provide accurate documentation on order status. Notify stakeholders of order revisions, cancellations, or corrections. Documentation & ERP Maintenance Attach required documentation, drawings, notes, or special instructions to orders. Audit orders for accuracy, completeness, and alignment with current BOM standards. Assist in maintaining and updating ERP order templates, part numbers, and configuration rules. Required Skills & Qualifications 2-4 years of experience in order entry, sales operations, or production support in a manufacturing environment. Hands-on experience with Bills of Materials (BOMs) and reading/interpreting manufacturing documentation. Strong understanding of manufacturing processes, parts, item codes, and product configuration logic. Proficient in ERP systems (Epicor strongly preferred). Excellent attention to detail and accuracy. Ability to manage multiple orders and deadlines in a fast-paced environment. Strong communication skills, both written and verbal. Proficient in Microsoft Office (Excel, Outlook, Word). Preferred Qualifications Experience in spa, appliance, mechanical, or multi-component manufacturing.
