San Diego, CA Job Details Full-time $22 - $24 an hour 13 hours ago Qualifications Customer communication Microsoft Outlook Attention to detail Organizational skills Construction administrative experience Office experience Full Job Description We are a growing construction and remodeling company seeking an experienced, organized, and dependable Production Administrative Assistant to support our Production Manager and assist with the day-to-day coordination of construction projects. This is a fast-paced, detail-oriented position that requires strong administrative skills, excellent follow-through, and the ability to manage multiple priorities at the same time. The ideal candidate is proactive, comfortable communicating with clients, vendors, project managers, and teams, and able to work independently with minimal supervision. A minimum of 2 years of professional administrative or office experience is required. Previous experience with a construction, remodeling, general contracting, or similar project-based company is strongly preferred. Key Responsibilities Provide daily administrative and operational support to the Production Manager. Set up new projects and maintain accurate project information in the company CRM. Track and maintain project-related invoices, receipts, and expenses. Prepare weekly Bills Due, Cash Flow, project expense, and other internal reports. Assist with weekly checks and balances for active projects and office operations. Coordinate with Project Managers regarding project progress, customer payment collections, expenses, and outstanding items. Communicate with vendors and suppliers regarding material orders, deliveries, discrepancies, credits, and returns. Assist with permit-related documentation, HOA applications, inspections, and project financing requirements as needed. Communicate professionally with customers regarding permits, HOA requirements, financing, scheduling, and other production-related matters. Maintain organized and accurate project documentation, records, and databases. Create and update Excel spreadsheets and customized reports for management. Assist in resolving customer concerns professionally and provide excellent customer service. Coordinate special projects and follow through on assigned tasks from beginning to completion. Assist the Office Manager and Production Manager with additional administrative and operational needs. Help maintain a clean, organized, and professional office environment. Perform other related duties as assigned. Qualifications Minimum 2 years of professional administrative, office coordination, or similar experience required. Construction, remodeling, general contracting, property management, or other project-based industry experience is a strong plus . Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook . Experience working with a CRM, project management software, or accounting software is preferred. Strong organizational skills with exceptional attention to detail and accuracy. Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment. Comfortable working with numbers, invoices, payments, reports, and basic project financial tracking. Strong written and verbal communication skills. Professional and confident when communicating with customers, vendors, contractors, and internal team members. Ability to work independently, take initiative, problem-solve, and follow through without constant supervision. Reliable, dependable, punctual, and accountable. Quick learner who can understand new processes and anticipate what needs to be done next. Ability to handle confidential company, employee, customer, and financial information appropriately.
