Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Production Assistant to join our team! This energetic role is vital in supporting daily office operations, streamlining production workflows, and ensuring smooth communication across departments. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for maintaining efficient administrative processes. This paid position offers an exciting opportunity to be an integral part of a creative and fast-paced environment, contributing to the success of our production projects and overall office management. Duties Manage front desk responsibilities, including greeting visitors and directing calls with professional phone etiquette. Operate multi-line phone systems to handle incoming inquiries efficiently and courteously. City Permitting - filing for permits and executing the process of bringing a permit to closed status. Provide comprehensive office management support, including filing, data entry, and maintaining organized records. Assist with bookkeeping tasks using QuickBooks to track expenses, invoices, and financial transactions accurately. Support calendar management and scheduling for production teams and personal assistants, ensuring timely appointments and deadlines. Conduct proofreading of documents, scripts, or reports to ensure accuracy and clarity before distribution. Facilitate customer support by addressing inquiries promptly and maintaining positive communication with clients or vendors. Perform clerical duties such as copying, scanning, organizing files, and managing office supplies to keep the workspace efficient. Utilize Google Workspace and Microsoft Office tools to prepare reports, presentations, and correspondence as needed. Support data entry tasks with precision to maintain up-to-date project records and production schedules. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. We use BuilderGM for our CRM. If no experience with BuilderGM we will provide training. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Bilingual abilities are a plus to assist diverse team members or clients. Previous office experience or administrative experience is highly preferred. Knowledge of QuickBooks for bookkeeping tasks is desirable. Exceptional phone etiquette skills combined with experience managing multi-line phone systems. Strong typing skills with attention to detail for proofreading and data entry tasks. Effective time management skills to prioritize tasks efficiently. $28.00 - $31.00 per hour
