We are seeking a highly organized, detail-oriented Shop Administrator to support our production operations and help ensure the successful flow of materials, information, and work throughout our fabrication shop. This position plays a critical role in coordinating production, purchasing, inventory, quality control, and shop support functions. The ideal candidate is a self-starter who enjoys problem-solving, managing multiple priorities, and working closely with production, detailing, management teams and project managers. Position Summary The Shop Administrator serves as a key liaison between purchasing, production, and document control to ensure projects move efficiently through fabrication. This individual will help coordinate work orders, material procurement, shop releases, production scheduling, and AISC quality programs while supporting multiple software systems used in the fabrication process. Essential Duties & Responsibilities Production & Shop Support Be involved in the schedule meeting. Gather and distribute drawings, reports, and production documents. Ensure shop releases include all necessary drawings, lists, and supporting information. Assist shop personnel with Tekla-related tasks and reporting. Organize automated reports and production releases. Assist with production scheduling and shop priorities. Coordinate the flow of work orders through the fabrication shop. Participate in year end inventory and reconciliation. Assist in setting permissions in Tekla software for new employees. Purchasing & Inventory Import files into Tekla and other production software systems. Track price increases and decreases. Create various reports including overdue material and production reports, etc. Control pricing and fab suite. Purchase materials and obtain vendor pricing, whether from Mills Service Center or specific suppliers. Purchase specific items per job requirements. Coordinate cut lists and material requirements. Assist with inventory management and material tracking. Support supplier communications and issue resolution. Support Estimating with pricing update as needed. Be the back up for Powerfab for the shop. Check shop drawing to Fabsuite to ensure accuracy. Contact Detailers when issues occur. Support shop issues with suppliers. Back-up for Georgia. Quality Control & Compliance Coordinate and maintain AISC Quality Control and Procedure Manuals. Assist with internal quality audits and annual AISC audits. Verify accuracy between shop drawings and FabSuite reports. Coordinate corrective actions with detailers and project teams when discrepancies occur. Assist with LEED reporting requirements. Participate n AISC audit. Administrative & Technical Support Serve as a backup for Document and Data Control functions. Support Python and automated equipment file imports. Maintain production documentation and records. Assist with troubleshooting data and software-related shop issues. Perform other duties as assigned. Qualifications Required Strong organizational and time management skills. Excellent verbal and written communication abilities. Problem-solving mindset with the ability to work independently. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office (Excel, Word, Outlook). Preferred Experience in structural steel fabrication, construction, manufacturing, or industrial environments. Familiarity with Tekla, FabSuite, ERP systems, or production software. Experience with purchasing, inventory control, or production coordination. Knowledge of AISC quality requirements.
