Job Description

Overview The Quality Assurance Administrative Assistant supports the QA department by managing documentation, maintaining quality records, and assisting with audits and compliance activities. This role ensures accurate recordkeeping and efficient administrative processes to support compliance with customer, regulatory, and internal quality requirements. Responsibilities Maintain and organize quality records, logs, and documentation (electronic and hard copy) Ensure controlled documents (procedures, work instructions, forms, are current and properly distributed Assist with document revisions, formatting and version control Enter and manage data in QA systems, databases, or
ERP/LIMS
platforms Prepare reports, spreadsheets, and summaries for QA Leadership 1. Assist in tracking non-conformances, corrective actions (CARs), and preventative actions (CAPAs) Maintain logs for internal audits, customer complaints, and supplier issues Support calibration, training, and certification record tracking Help ensure compliance with ISO, customer, and internal requirements Prepare documentation packages for internal and external audits Track audit findings and follow-up actions Ensure required documentation is complete and accessible during audits Coordinate meetings, take notes, and track action items for QA activities Communicate with production, lab, and management regarding documentation needs Assist with onboarding and training documentation for QA-related processes Maintain organized QA filing systems and shared drives Order and track QA office suppose and forms Perform other administrative duties as assigned by QA leadership Qualifications High school diploma/GED, associate's degree or beyond preferred; 1-3 years of administrative or quality-related experience (manufacturing preferred) Strong proficiency in Microsoft Office (Excel, Word, Outlook) Experience with quality systems or databases (ERP, LIMS, or QT9) preferred Strong organizational and recordkeeping skills Ability to manage multiple tasks and meet deadlines Strong attention to detail and accuracy Effective written and verbal communication skills
Pay:
$22.00 - $24.00 per hour
