Job Description

Job Summary The Quality Assurance Assistant supports the Quality Assurance Manager in maintaining and improving the company's Food Safety System (FSS), Quality Management System (QMS), supplier approval programs, and regulatory compliance activities. This role combines traditional quality assurance responsibilities with digital systems administration, process automation, and data management. The position requires strong attention to detail, excellent organizational skills, practical experience with Microsoft 365 applications, cloud-based business systems, AI-assisted business tools, and the ability to coordinate activities across Quality Assurance, Operations, Production, Purchasing, and Senior Management. The successful candidate will serve as a key contributor in the facility's ongoing transition to digitized quality systems, automated workflows, electronic recordkeeping, and continuous improvement initiatives. Duties Communicate HACCP Prerequisite Program and Food Safety System (FSS) concerns and coordinate timely resolution of non-conformances with all departments. Assist in maintaining and improving the company's HACCP, SQF, cGMP, sanitation, allergen, supplier approval, and quality management programs. Identify opportunities for improvement within the Food Safety System and participate in risk assessments, corrective actions, and preventive action (CAPA) activities. Conduct quality and food safety inspections, including incoming material inspections, facility inspections, process audits, and documentation reviews. Assist the QA Manager in implementing and maintaining the Supplier Approval Programs. Assist Purchasing department in implementing and maintaining the Foreign Supplier Verification Program (FSVP). Maintain organized and audit-ready quality, food safety, regulatory, and supplier records. Serve as primary for routine in-house laboratory testing and verification activities. Coordinate shipment of samples to external laboratories when required. Serve as primary for scale calibration activities and/or coordinate external technical services when necessary. Participate in development, testing, validation, and continuous improvement of automated business processes and digital quality management systems. Supports data collection, trend analysis, reporting, and management review activities. Perform other related duties as assigned by QA Manager. Skills & Requirements Strong analytical, organizational, and problem-solving skills with exceptional attention to detail and accuracy. Effective written and verbal communication skills with the ability to work independently and collaboratively across departments. Ability to manage multiple priorities and meet deadlines in a fast-paced manufacturing environment. Practical experience with Microsoft 365 applications, including SharePoint, Teams, Excel, Outlook, OneDrive, Forms, and Lists. Experience with workflow automation, cloud-based systems, AI-assisted productivity tools, electronic recordkeeping, and the ability to quickly learn new technologies. HACCP certification required.
FSPC PCQI
certification highly preferred but not required. Knowledge of quality assurance best practices and methodologies; as well as Quality Control Checks, and / or Quality Control Lab testing experience. Knowledge and understanding of third-party certifying requirements. Knowledge and understanding of cGMP, HACCP, SOP, sSOP requirements. Knowledge and understanding of governing agencies, i.e., FDA, GFSI-SQF, etc. Experience with cloud environments and a strong understanding of various software platforms. Minimum Education & Experience High School Diploma or equivalent required. Associate degree in a science, food science, technology, business, quality systems, or related field preferred. One (1) to three (3) years of quality assurance, food manufacturing, regulatory, laboratory, or related experience preferred. Experience supporting digital systems, document management, workflow automation, or business process improvement initiatives preferred. Equivalent combinations of education, training, and experience may be considered.
