$81,120 /year (Exempt) Overview Our client is looking for an experienced bilingual General Affairs Manager to oversee office administration, facility operations, vendor management, and cross-functional coordination. This position will supervise departmental operations, support process improvements, and ensure efficient day-to-day business functions while working closely with management and internal stakeholders. Key Responsibilities General Affairs & Office Operations Oversee daily office operations and administrative functions Manage office supply procurement, inventory control, and facility maintenance coordination Handle office repairs, consumable replacements, and workplace operational issues Coordinate company business card orders and maintain issuance records Support office and facility improvement initiatives Operations & Team Management Supervise team members and provide guidance as needed Establish departmental priorities and operational goals Coordinate schedules and collaborate with other departments to support corporate objectives Identify operational inefficiencies and implement process improvement initiatives Conduct operational reviews and recommend system enhancements Vendor & Corporate Administration Manage vendor relationships, service coordination, invoice review, and payment processing Oversee company vehicle administration including registration, insurance, maintenance, and renewals Manage corporate insurance policies and broker communications Handle annual reports, business licenses, and corporate compliance documentation Provide administrative support for company-related operational activities Communication & Reporting Provide regular updates and reporting to senior management Maintain communication with internal departments, vendors, and external stakeholders Support cross-functional collaboration and company initiatives Qualifications Bilingual in Japanese and English (reading, writing, and speaking required) 3-5+ years of experience in office administration, executive assistant, general affairs, or related functions College degree preferred but not required Strong organizational, multitasking, and problem-solving skills Ability to manage multiple deadlines and priorities Strong vendor management and negotiation skills High level of discretion and confidentiality Ability to work collaboratively across departments
