Description
Resource Fair Coordination:
Coordinate and attend resource fairs to promote organizational services, build community partnerships, and support outreach goals.Supports Internal Communication Efforts:
Collaborate with staff to ensure all internal materials are appropriately branded and aligned with organizational standards.Inbound Communication and CRM Management:
Manage inbound communications and inquiries through HubSpot, ensuring timely and accurate responses. Maintain and update CRM records, track engagement, and support lead nurturing and donor stewardship efforts.Media Consent and Content Management:
Maintain a database of media consent forms to ensure all individuals featured in photos and videos have provided appropriate consent. Review content before publication to confirm compliance with privacy policies and protect participant confidentiality. Support forOutreach Initiatives:
Assist in the planning, coordination, and execution of marketing campaigns, public relations efforts, donor relations activities, fundraising initiatives, grant writing projects, and events.Tours and Information Sessions:
Provide guided tours and lead informational sessions for prospective partners, donors, community members, and other interested audiences to promote awareness and engagement with the organization's mission and services.Website Maintenance:
Maintain and update the organization's website to ensure content is accurate, timely, and aligned with branding and outreach goals. Monitor accessibility, functionality, and compliance with privacy regulations, coordinating with technical teams as needed.Archival Management:
Organize and maintain an organized archive of outreach materials, including marketing content, event documentation, donor records, and historical communications. Ensure that all materials are accurately cataloged and easily accessible for reference and compliance purposes. Regularly update and review archival records to ensure they reflect current practices and support historical data analysis.Data Management and Analysis:
Maintain accurate records of outreach activities, donor interactions, and campaign results. Analyze data to assess the effectiveness of outreach strategies and recommend improvements for future initiatives. Willingly and effectively cooperates with OTC, The Department of Human Services, The Division of Developmental Disabilities (DDD), and other licensing or state agency or local municipalities in any inspections and investigations, upon request.Benefits:

Proven experience in administrative support roles, preferably in a nonprofit or community outreach setting. Strong organizational skills with the ability to manage multiple tasks and deadlines effectively. Excellent written and verbal communication skills, with attention to detail and accuracy. Proficiency in Microsoft Office Suite and experience with database management and email marketing platforms. Ability to work collaboratively in a team environment and independently with minimal supervision.
