POSITION SUMMARY
Under the direction of the City Manager, provides high-level executive, administrative, and professional support to the City Manager's Office. The position serves as a key organizational resource responsible for coordinating executive priorities, grant administration, strategic communications, community engagement, and special initiatives. Exercises considerable discretion, independent judgment, professionalism, and confidentiality while working across City departments and with elected officials, governmental agencies, community partners, and the public.
ESSENTIAL FUNCTIONS
Provides high-level executive support to the City Manager and assists in advancing organizational and City Council priorities. Coordinates and monitors strategic initiatives, departmental assignments, special projects, deadlines, and follow-up on behalf of the City Manager. Prepares executive correspondence, reports, presentations, research, briefing materials, and other communications for the City Manager's Office. Identifies and researches federal, state, local, and private funding opportunities aligned with City priorities and capital needs. Coordinates grant applications and supports post-award administration, compliance, reporting, reimbursement, documentation, and closeout activities. Maintains centralized oversight of grant deadlines, requirements, performance measures, and records to support accountability and audit readiness. Coordinates the City's strategic communications and public information efforts under the direction of the City Manager. Develops and manages content for the City website and official social media platforms, including Facebook, to ensure timely, accurate, and consistent communication. Prepares public notices, news releases, executive messages, community updates, project communications, and other public-facing materials. Collaborates with department leadership to communicate City programs, services, infrastructure projects, accomplishments, and organizational initiatives. Supports community engagement, intergovernmental relations, partnerships, special events, and other initiatives of the City Manager's Office. Serves as a professional liaison between the City Manager's Office, City departments, elected officials, governmental entities, community organizations, businesses, and residents. Handles sensitive and confidential matters requiring a high degree of professionalism and discretion. Performs other executive-level assignments and related duties as directed by the City Manager.
Qualifications:
MINIMUM QUALIFICATIONS
Bachelor s degree in Public Administration, Business Administration, Communications, Marketing, or a related field preferred, with progressively responsible experience in executive administration, local government, grants, communications, or a related field. An equivalent combination of education, training, and experience that demonstrates the required competencies may be considered.
KNOWLEDGE, SKILLS & ABILITIES
Demonstrated ability to exercise independent judgment, manage complex priorities, coordinate projects across organizational functions, and communicate effectively with diverse stakeholders. Requires exceptional written and verbal communication, organizational, research, analytical, and interpersonal skills; strong attention to detail; and the ability to maintain confidentiality and represent the City Manager s Office with professionalism.
