About Client:

Client is building autonomous mobility from the ground up, a purpose-built robotaxi designed for riders, not drivers. Bringing something this new into the world takes storytelling that is credible, clear, and impossible to ignore. Every event we host and every story we place shapes how the public, press, and policymakers understand autonomous vehicles.

The Role:

We're looking for a highly organized, AI-forward Event & Communications Program Coordinator to keep our events and corporate communications teams running flawlessly. This role is an essential part of the team, helping keep projects, programs, and day-to-day PR and event activities moving in a fast-paced environment while supporting communications efforts across client. You'll be the connective tissue between our communications team, juggling logistics, timelines, budgets and projects. This is a hands-on coordinator role for someone early in their career who is fluent with modern AI tools and eager to join a fast-moving team.

Responsibilities:

Keep day-to-day PR programs running smoothly, working closely with the team to drive projects forward. Track media coverage and sentiment. Note key hits for the PR team and prep coverage summaries for internal distribution. Build and maintain targeted media lists for campaigns, pitches, and outreach. Draft fact sheets and media pitches, partnering with the team to identify compelling story angles and the right reporters. Manage inbound speaking opportunities and cross-functional event requests. Support requests for communications initiatives with external partners/vendors. Track and coordinate submissions for key industry awards and publications. Organize key team syncs (e.g., CorpComms Team Sync), driving agenda preparation, capturing action items, and ensuring timely follow-through across the team. Draft and synthesize recurring internal updates, including End-of-Week reports, project status summaries, and team-wide metric rollups. Maintain and update team budget tracking spreadsheets, assisting with monthly budget reconciliations and purchase order tracking in partnership with finance. Support Event and Program Managers with smaller logistical details, scheduling, document prep, and vendor/asset coordination as needed. Provide occasional on-site support for key external events, assisting with run-of-show logistics, check-ins, or live team communications. Actively spot opportunities where AI and lightweight automation can save the team time including automated meeting notes/summaries, budget reconciliation, and status tracking, using Claude, Gemini, Asana workflows, and internal tools to build reusable templates and processes.

What You'll Bring:

1-3 years of experience in PR, events, communications, or marketing (agency or in-house). Relentless organization and attention to detail, you thrive when managing multiple moving parts and tight deadlines. Strong, clear writing and editing abilities. Fluency with AI tools and a genuine drive to use them to work smarter. Excellent interpersonal skills and a calm, professional demeanor under pressure. Comfort operating in a fast-paced environment where priorities shift quickly. Nice to

Have:

Interest in or exposure to technology, robotics, mobility, or autonomous vehicles. Experience with Meltwater and Asana. Willingness to travel and work occasional evenings/weekends for events.
