Veterinary Client Service & Communications Coordinator We are growing our veterinary hospital team and developing a new Communications Team designed to provide excellent client service, clear communication, compassionate patient care, and strong internal support for our doctors and team. This position is more than a traditional CSR role. It is a service-focused, communication-centered role for someone who wants to help care for pets and support the people who love them. About the Role This team member will rotate between two important positions within our hospital: 1. Client & Patient Care Coordinator - Front of House In this role, you are often the first impression of the hospital. You help create a clean, calm, welcoming, and organized front-of-house experience for clients, patients, and team members.
Responsibilities include:
Greeting clients and patients warmly and professionally Helping clients feel seen, welcomed, cared for, and respected Keeping the lobby and front area clean, tidy, and comfortable Monitoring front-of-house flow and communicating needs to the medical team Helping manage reactive, nervous, fearful, or aggressive pets safely and calmly Facilitating prescription pickup and in person client questions Supporting internal communication between the front team, technicians, assistants, and doctors Offering thoughtful hospitality touches such as water, coffee, or assistance when appropriate Watching for client stress, confusion, or frustration and helping solve problems early Helping every client leave feeling respected, informed, and confident in our team 2. Communications Team - Phones, Email, Texting, and Client Support In this role, you help manage the hospital's external communication with clients. This position requires excellent follow-through, clear wording, kindness, accuracy, and the ability to communicate well on behalf of the medical team. Responsibilities include:
Answering phone calls professionally and efficiently Managing client emails and text messages Facilitating prescription requests and communication Helping clients understand next steps, scheduling needs, and hospital processes Communicating clearly with the medical team regarding client needs Following through on messages so clients receive timely responses Helping create a smooth, organized communication flow for the entire hospital Providing honest, kind, and clear communication even during busy or stressful moments Our Values in This Role The right person for this position will be expected to help live out our hospital values in practical, everyday ways.
