Full Job Description Job Summary:
The Advancement Operations and Communications Coordinator supports fundraising, communications, and internal coordination for The Food Pantries for the Capital District, The Alliance for a Hunger-Free New York, and the NYS Food as Medicine Coalition. This role serves as the internal systems and workflow lead for the Development and Communications team, helping keep calendars, projects, donor records, communications schedules, and key administrative processes organized and on track. This position supports the Chief Advancement Officer and Outreach and Engagement Manager by creating structure, maintaining accountability, and ensuring strong follow-through across departmental priorities. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a small, fast-paced team environment with changing needs and multiple deadlines. This role is best suited for someone who is systems-minded, dependable, and able to help an outward-facing team stay focused, prepared, and on schedule. Position salary wage starting at $20 to $25 per hour commensurate with experience. Volunteers Duties/Responsibilities:
I. Advancement and External Relations Support (100%Donor Relations and Database Management:
Maintain the Constituent Relationship Management (CRM) system (Neon One), ensuring data accuracy and integrity. Accurately enter all donations into the CRM. Generate and run donor acknowledgment letters, ensuring timely mailing. Prepare weekly and monthly fundraising reports for review by the CAO and Chief Executive Officer. Prepare press briefing and media event materialsSocial Media and Content Creation:
Coordinate the social media accounts for The Food Pantries, The Alliance for a Hunger Free New York, and the NYS Food as Medicine Coalition. Develop and maintain a comprehensive social media content calendar. Monitor social media channels to actively engage with supporters, funders, volunteers, and membersExternal Affairs and Communications:
Support all external affairs efforts, including the monthly e-newsletter, press releases, talking points, and the annual report. This involves collecting information, assisting with content creation, and scheduling distributions. Monitor press coverage and diligently record all media mentions. Administrative Support forDevelopment and Communications Team:
Coordinate event and meeting preparation, scheduling, logistics, and follow-up for the Development and Communications team. Organize and prepare materials for meetings, including agendas, documents, and related support items. Maintain records, documents, and administrative support materials for leadership and departmental use. Provide scheduling and administrative support to leadership as assigned. • All other tasks as assignedRequired Skills/Abilities:
Strong organizational skills and meticulous attention to detail. Excellent written and verbal communication skills. Proficiency in using CRM software; experience with Neon One is a plus. Demonstrated experience managing social media platforms and developing content. Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to maintain confidentiality and exercise discretion. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent time management skills with a proven ability to meet deadlines. Strong analytical and problem-solving skills. Ability to function well in a high-paced and at times stressful environment. Ability to communicate with and relate to a wide range of people.Education and Experience:
