POSITION OVERVIEW
Under the direction of the Vice President of Sales, the Sales Administrator and Ecommerce Specialist is responsible for supporting Bowtech's domestic sales operations, Mass Merchant accounts, dealer network, ecommerce platforms, and customer support functions through accurate order management, reporting, and cross-functional coordination. This position serves as a key operational hub between Sales, Customer Service, Operations, Finance, Marketing, Supply Chain, and external retail partners. The role is responsible for managing purchase orders, processing returns and warranty claims, supporting ecommerce operations, maintaining product and pricing data, and ensuring accurate and timely communication across all sales channels. This position utilizes Dynamics D365 ERP and Microsoft Power BI to support sales reporting, Mass Merchant performance tracking, ecommerce analytics, order management, warranty and return visibility, and operational decision-making. The ideal candidate is highly organized, detail-oriented, technically proficient, and passionate about archery, bowhunting, and the outdoor lifestyle.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Mass Merchant Account Administration Serve as the primary internal coordinator for Mass Merchant accounts and key retail partners. Enter, process, manage, and maintain Mass Merchant purchase orders (POs) with high accuracy and attention to detail. Ensure compliance with retailer routing guides, labeling requirements, shipping instructions, and vendor compliance standards. Coordinate closely with Operations, Warehouse, Supply Chain, and Finance teams to ensure timely and accurate fulfillment of Mass Merchant orders. Monitor order status and proactively communicate updates to internal teams and external partners. Maintain complete and accurate records of purchase orders, shipments, credits, returns, and account communications within Dynamics
D365 ERP.
Support retailer scorecard reporting, compliance tracking, and account documentation. Utilize Microsoft Power BI to monitor Mass Merchant sales activity, order trends, inventory levels, return rates, and account performance metrics. Assist in identifying account trends, service issues, and fulfillment opportunities through reporting and dashboards. Ecommerce Management Manage and support Bowtech ecommerce platforms and online product listings. Maintain product content including descriptions, specifications, pricing, imagery, inventory availability, and promotional updates. Ensure accuracy and consistency of product data across ecommerce platforms and systems. Work to implement site updates, feature enhancements, bug fixes, and performance improvements. Collaborate with web developers, agencies, or platform providers to ensure proper functionality of ecommerce systems including product detail pages, checkout flows, search functionality, and integrations with ERP (Dynamics D365). Optimize product pages for conversion rate, user experience, and search visibility. Coordinate ecommerce promotions, product launches, and digital merchandising activities. Monitor ecommerce performance including sales trends, product performance, conversion activity, and customer behavior. Utilize Microsoft Power BI to generate ecommerce performance reports and dashboards. Collaborate with Marketing to support online campaigns and digital initiatives. Assist in improving online customer experience through data-driven insights and reporting. Support direct-to-consumer order flow, fulfillment coordination, and customer inquiries. Warranty, Returns, RAs, and RMAs Serve as a key point of contact for warranty inquiries, product returns, return authorizations (RAs), and return merchandise authorizations (RMAs). Process and track warranty claims and return requests in accordance with company policies and procedures. Coordinate product inspections, replacements, credits, and repairs with Customer Service, Quality, Operations, and Finance teams. Investigate return and warranty trends to identify potential product or process improvements. Maintain accurate records of all warranty, return, and claim activity within Dynamics
D365 ERP.
Utilize Power BI dashboards to monitor warranty trends, return rates, product issues, and customer service performance. Ensure timely resolution of all return and warranty-related issues while maintaining high levels of customer satisfaction. Sales Administration and Dealer Support Provide administrative support to the Vice President of Sales and broader Sales organization. Process dealer orders, replacement parts orders, and sales transactions accurately and efficiently. Maintain customer, dealer, pricing, product, and inventory data within Dynamics
D365 ERP.
Support dealer onboarding, account setup, and account maintenance activities. Respond to dealer inquiries regarding pricing, availability, promotions, order status, and product information. Coordinate order fulfillment activities with Customer Service, Operations, Warehouse, and Finance teams. Maintain detailed records of dealer communication and account activity. Assist with sales reporting, dealer program administration, and promotional support. Support trade shows, dealer meetings, and sales events as needed. Customer Service and Operational Support Respond to consumer and dealer inquiries regarding products, orders, warranties, and returns. Provide support for order tracking, product availability, and basic technical inquiries. Maintain professionalism and responsiveness when handling customer and dealer communications. Assist Customer Service team during peak volume periods. Support cross-functional coordination to resolve customer issues efficiently. Maintain accurate documentation of all customer interactions and resolutions. Operational Excellence Ensure accuracy and integrity of all sales, order, and customer data within company systems. Support continuous improvement initiatives within Sales Operations and Ecommerce functions. Identify opportunities to improve efficiency in order processing, reporting, and customer service workflows. Maintain a clean, organized, and professional work environment. Follow all departmental policies, procedures, and company guidelines. Perform additional duties as assigned.
CROSS-TRAINING AND BRAND SUPPORT
Support Sales Administration, Ecommerce Operations, Customer Service, Warranty, and Mass Merchant functions across all Bowtech brands and product categories. Maintain working knowledge of Bowtech products, accessories, and archery industry trends. Collaborate with Sales, Marketing, Operations, Supply Chain, Finance, and Product teams. Support new product launches, promotional campaigns, and seasonal sales programs. Assist with cross-functional projects and operational initiatives. Provide backup support across related departments during high-volume periods.
PREFERRED QUALIFICATIONS
Experience in sales administration, ecommerce operations, customer service, or retail account support. Experience supporting Mass Merchant or national retail accounts. Experience managing and supporting ecommerce platforms and digital merchandising (Shopify) Experience utilizing Microsoft Dynamics
D365 ERP.
Experience using Microsoft Power BI for reporting or dashboard review. Strong Microsoft Excel skills. Experience with ecommerce platforms, product data management, or digital merchandising. Passion for archery, bowhunting, and the outdoor lifestyle.
MINIMUM QUALIFICATIONS AND EXPERIENCE
Minimum of three years of experience in sales administration, customer service, ecommerce operations, order management, or related business functions. Experience managing ecommerce product data, listings, pricing, and promotions Experience processing purchase orders, returns, warranty claims, and customer transactions. Experience utilizing ERP systems; Dynamics D365 strongly preferred. Working knowledge of Microsoft Power BI or similar reporting tools preferred. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong interpersonal, verbal, and written communication skills. High level of accuracy in data entry and order processing. Strong customer service mindset with ability to support dealers and consumers effectively. Passion for archery and/or bowhunting required. Working knowledge of compound bows, archery equipment, accessories, and replacement parts required. Ability and willingness to travel for extended periods of time as business needs require.
