We are seeking an organized and proactive Operations & CRM Coordinator to help streamline lead tracking, follow-ups, project coordination, and internal systems as the company continues to scale. This role is ideal for someone who enjoys bringing structure to fast-moving creative environments and can help keep operations organized across multiple moving parts. You will work closely with leadership and VAs to improve workflow organization, CRM management, booked project tracking, and overall operational efficiency. This is a flexible contract/trial-based role with potential for ongoing long-term growth based on performance and fit. Responsibilities Organize and maintain CRM pipelines and lead tracking systems Track follow-ups, next actions, and client communication status Help coordinate booked projects, talent assignments, and operational workflows Maintain organized records for leads, clients, booked work, and partnerships Support outreach organization across Instagram, email, referrals, sponsorships, and inbound leads Assist with weekly operational reviews and reporting Help improve internal systems, accountability, and workflow efficiency Coordinate with VAs and leadership team to ensure tasks and follow-ups stay updated Preferred Skills Experience with Monday.com, Airtable, ClickUp, HubSpot, or similar CRM/project management tools Strong organization and communication skills Ability to manage multiple projects and deadlines Detail-oriented and systems-minded Comfortable working in fast-paced startup or creative environments Experience with entertainment, creators, influencer marketing, events, nightlife, talent agencies, or UGC campaigns is a plus Compensation Contract / Trial-Based Role Flexible schedule with opportunity for ongoing work based on performance and fit.
