Executive Assistant, Senior Vice President, HP Solutions Marketing Description
  • Job Summary This role provides advanced tactical and strategic administrative support to the Senior Vice President (SVP) of HP Solutions Marketing.
The Executive Assistant serves as a trusted partner to the SVP, enabling operational efficiency, effective decision-making, and seamless coordination across the HP Solutions Marketing organization and broader enterprise. The role manages complex calendars, communications, and logistics, while proactively supporting business priorities, executive initiatives, and cross-functional collaboration. Responsibilities Manages complex and dynamic executive calendars, scheduling meetings across multiple time zones, prioritizing requests, and ensuring alignment with business-critical activities. Coordinates and prepares for executive meetings, leadership forums, and offsites, including agenda development, materials preparation, room reservations, and audio-visual setup. Acts as a gatekeeper and first point of contact for internal and external stakeholders, exercising sound judgment in filtering, prioritizing, and responding to communications on behalf of the SVP. Coordinates domestic and international travel, including flights, accommodations, ground transportation, itineraries, and expense reconciliation. Supports rhythm-of-the-business activities for HP Solutions Marketing, including staff meetings, leadership reviews, QBRs, and cross‑functional planning sessions. Develops and produces administrative, utilization, and operational reports to support strategic planning, organizational effectiveness, and executive decision-making. Partners closely with other Executive Assistants, Chiefs of Staff, and functional leaders to ensure alignment and smooth execution of cross‑org initiatives. Coordinates administrative workflows across teams, ensuring consistency, accuracy, and adherence to HP policies and procedures. Provides general administrative and office support as required, including document management, mailing, and coordination of office services. Education & Experience Recommended High School Diploma, GED, or equivalent required; additional education or training preferred. Typically 10 years of related experience in senior or executive-level administrative support, preferably supporting a VP or SVP in a large, matrixed organization. Experience supporting marketing, sales, or customer-facing organizations is strongly preferred. Provides administrative leadership and expertise within the function and may support or participate in cross‑functional and enterprise initiatives. Complexity Works on complex, non-routine assignments requiring initiative, prioritization, discretion, and a strong understanding of business context. Regularly handles confidential information and exercises independent judgment in support of executive and organizational objectives.
