This is not a sales position. This role supports our travel advisors by assisting with client communications, travel administration, document preparation, supplier coordination, marketing activities, and day-to-day office operations. The ideal candidate is highly organized, detail-oriented, professional, and enjoys balancing administrative responsibilities with client interaction. Success in this role requires strong communication skills, the ability to manage multiple priorities, and a willingness to learn the travel industry. Primary Areas of Responsibility 55% Travel Administration & Advisor Support Prepare client travel documents and reservation materials Process payments and maintain reservation records Perform quality control on travel reservations Coordinate with suppliers to resolve issues and obtain information Assist advisors with reservation servicing and follow-up Complete assigned reservation touch points and administrative tasks accurately and efficiently 20% Client Communication & Follow-Up Contact clients regarding reservation updates, final payments, and outstanding items Assist with lead qualification and information gathering Provide excellent service through phone, email, and other communication channels Support advisors by handling routine client service requests Maintain professional and courteous communication with clients at all times 15% Office Administration & Operations Maintain CRM and client records Support daily office operations and administrative functions Assist with reporting, data entry, and process improvements Help ensure office procedures are followed consistently Assist management with office projects and operational support 10% Marketing & Social Media Support Assist with monthly client newsletters and email marketing campaigns Adapt supplier promotions for client communications Assist with social media content and scheduling Support agency marketing initiatives and client outreach efforts Marketing responsibilities primarily involve supporting existing agency marketing initiatives. This is not a dedicated marketing position. Job Responsibilities Support Travel Advisors in the research, promotion, arranging, servicing, and problem resolution of travel reservations including cruises, flights, resorts, hotels, excursions, and travel insurance Perform quality control on client reservations and prepare client documentation and travel materials Independently complete assigned reservation touch points and administrative tasks while following established agency processes and procedures Answer phone calls, respond to emails, and assist with client service requests in a professional and timely manner Contact clients regarding reservation updates, final payments, travel documentation, and other service-related matters Process payments and maintain reservation records using secure data handling procedures Communicate with suppliers and travel partners to obtain information, resolve issues, and support advisor and client requests Assist with lead qualification, information gathering, and client follow-up activities Assist/support office management in all office functions and daily operations Maintain accurate client records, CRM information, and agency databases Assist with agency marketing initiatives including newsletters, email marketing campaigns, supplier promotions, and social media content Support the creation, editing, scheduling, and distribution of marketing communications to clients and prospects Maintain a professional appearance and communication style suitable for direct interaction with clients, suppliers, and business partners Demonstrate strong attention to detail and the ability to accurately manage complex information and data Assist with special projects and identify opportunities for process improvement that enhance client service and agency operations
