Job description: We are seeking a highly organized, proactive, and detail-oriented Operations Assistant to join our cosmetic and delivery logistics team. This position will also provide direct support to the CEO of two small growing companies: A logistics, receiving, storage, and white-glove distribution company A nurse-owned cosmetic and skincare brand This position is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in keeping executives organized and operations running efficiently. The Operations Assistant will serve as the CEO's right hand, managing daily administrative functions while assisting with marketing, project coordination, client communications, and business development initiatives. This is a part-time contract position with the opportunity to grow into full-time for the right candidate. Responsibilities Manage calendars, meetings, and appointments Screen and respond to emails and phone calls Coordinate travel and scheduling Assist with marketing, social media, and promotional projects Prepare reports, presentations, and correspondence Organize files and maintain confidential records Coordinate special projects and follow up on action items Assist with event planning and client communications Conduct research and provide administrative support as needed Other duties as assigned Qualifications You must have a drivers license and good transportation for off-site duties.
Technical Proficiency:
Familiarity with social media platforms, basic graphic design (e.g., Canva, Adobe), Google Workspace, and Microsoft Office Suite.
Organization:
Strong time management skills, attention to details, and the ability to multitask in a fast-paced environment. Support content creation efforts including graphic design using Adobe Creative Suite, Adobe Photoshop, and content management systems like WordPress. Technical proficiency with website management including WordPress, HTML/CSS knowledge, JavaScript basics, and experience with content management systems. Strong graphic design skills using Adobe Photoshop or Adobe Creative Suite; experience with content creation is a plus. Ability to manage multiple projects simultaneously while maintaining attention to detail. Excellent communication skills with a proactive attitude toward learning new skills in digital marketing tools and techniques.
