  • 25/hour (based on experience) Overview Health Is Freedom is seeking a highly organized and resourceful Event & Venue Marketing Assistant to support our nationwide health seminar operations.
This role is responsible for identifying, researching, and securing venues for live events, including hotels, conference centers, restaurants, and other event spaces. You will play a critical role in ensuring our seminars are held in high-quality, cost-effective locations that enhance the attendee experience and maximize event profitability. This is not a passive administrative role. We are looking for someone who can take ownership, communicate professionally with venues, negotiate where appropriate, and execute with precision. Key ResponsibilitiesVenue Research & Sourcing Identify and research potential venues including hotels, restaurants, conference centers, and event spaces Evaluate venues based on location, demographics, accessibility, capacity, and cost Build and maintain a database of qualified venues across multiple markets Venue Outreach & Booking Contact venues via phone and email to check availability, pricing, and accommodations Coordinate site details including room setup, AV capabilities, and attendee capacity Negotiate pricing, concessions, and terms when applicable Secure bookings and confirm all event details in writing Event Coordination & Logistics Coordinate catering arrangements (menus, headcount, timing, dietary considerations) Ensure all venue requirements are aligned with event needs (presentation setup, seating, signage) Communicate event details clearly with internal teams Track all bookings, contracts, and event details in an organized system Operational Support Assist in managing event calendars and scheduling timelines Ensure deadlines are met for booking, catering, and confirmations Troubleshoot last-minute issues or changes with venues Qualifications 1-3+ years of experience in event coordination, hospitality, marketing support, or administrative roles Strong communication skills (phone, email, and professional correspondence) Highly organized with strong attention to detail Comfortable making outbound calls and coordinating with vendors Ability to manage multiple events and deadlines simultaneously Negotiation skills or willingness to learn Proficiency with Google Workspace / Excel / CRM tools What We're Looking For Someone who takes ownership and follows through A problem solver who can think on their feet Detail-oriented but able to move quickly Comfortable working in a fast-paced, growing environment Strong sense of urgency and accountability Bonus Experience (Not Required) Experience working with hotels or event venues Catering coordination experience Background in hospitality, events, or travel planning Why Join Us Be part of a rapidly growing national event-based business Opportunity to take ownership of a critical function Clear path for growth into Event Manager or Operations roles Fast-paced, entrepreneurial environment
