Position Summary The Staff Assistant for Professional, Corporate, and Community Education plays a key role in supporting the planning, coordination, and delivery of multiple noncredit programs within the College of Continuing Studies, including Senior College, the Executive Leadership Institute (ELI), and other professional and community-based offerings. This position requires a highly organized, detail oriented individual who can manage multiple programs and timelines simultaneously while maintaining a strong commitment to excellent customer service and inclusive practices. The Staff Assistant serves as a primary point of contact for participants, instructors, and partner organizations, helping to ensure programs run smoothly from registration through completion. In support of Senior College, the Staff Assistant assists members with the application and registration process, processes payments, ensures access to BSU credentials, and supports participants in navigating technology and other resources needed for course participation. The Staff Assistant works closely with the Director and external partners to schedule courses, coordinate logistics for both in person and virtual offerings and collaborates with faculty to address technology and access needs. The position also supports the administration of the Executive Leadership Institute, including assisting with planning and logistics for virtual and in person program events. Additional responsibilities include supporting marketing and communications efforts, such as the creation of newsletters and social media content. The ideal candidate is equity minded, patient, highly organized, and responsive, with a strong ability to work effectively with older adult learners and community based participants. As a member of the College of Continuing Studies team, the Staff Assistant contributes to shared office operations and coverage, including reception, phone, and general email accounts, as needed. The Schedule for this position is Monday-Friday (Saturdays and Sundays as days off, occasional evening and weekend hours may be required.) This position is located on campus in Bridgewater, MA. This position may be eligible for hybrid work schedule in accordance with BSU remote work policy. This is an exempt, APA unit position and is subject to the terms of that union agreement Essential Duties 1. Coordinate noncredit and professional education programs working closely with the Director, the Associate Director, the part-time Program Assistant and external community partners. 2. Act as a liaison with off-campus partner sites to ensure seamless delivery of in-person courses. 3. Manage multiple program calendars, schedules, and logistics for both in-person and virtual courses/events. 4. Track and maintain detailed program data (enrollment, participant outcomes, marketing analytics, etc.). 5. Process instructor and consultant stipends, ensuring timely and accurate payments. 6. Prepare announcements and marketing communications as needed. 7. Administer and monitor departmental budgets with a high level of accuracy: create and process invoices, requisitions, purchase orders, and track departmental expenditures and payments. 8. Assist with office coverage, including reception, phones, and email accounts, as needed. 9. Perform other duties as assigned. Required Qualifications 1. Experience working with older adults and/or demonstrated ability to work effectively with adult learners and community members in supportive, service oriented roles. 2. Advanced computer skills, including proficiency in Microsoft Excel, Word, Outlook and other web-based applications. 3. Must be able to identify, organize, and prioritize multiple job responsibilities. 4. Must have the ability to carry out responsibilities with limited supervision. 5. Experience with financial management tasks, including creating invoices, requisitions, purchase orders, and tracking payments. 6. Excellent verbal and written communication skills, strong interpersonal skills, and attention to detail are required, as is flexibility and a positive attitude. 7. Demonstrated commitment to equity and inclusion in administrative or customer service work. 8. Ability to adapt to changing priorities and multi-task. 9. Valid driver's license and the ability to occasionally drive to off-site locations when needed. 10. Bachelor's degree. Preferred Qualifications 1. Experience in an educational or nonprofit setting supporting community or continuing education programs. 2. Familiarity with student information systems (Banner and CampusCE), CRM systems (Element451), and event management systems.
