DIRECTOR OF MARKETING SERVICES
Job Description Purpose of Job Position The primary purpose of your position is to manage leads to qualify prospects and move through the sales process, to develop a growing base of referral sources and to meet monthly occupancy goals in accordance with our established policies and procedures and as may be directed by the Executive Director. Delegation of Authority As the Director of Marketing Services you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. MAJOR DUTIES & RESPONSIBILITIES
Administrative Functions Implement and monitor all rules, policies and procedures outlined by company and state regulatory agency. Courteously greet residents, family members, visitors and other clients, determine their needs and direct them to the appropriate person, office, or area. Answer telephones, handle calls, route to appropriate individual or take messages. Ensure customers, vendors and employees are handled in a professional and courteous manner. Provide callers with information such as facility address, directions to the location, fax numbers, website, and other related information. Handle phone and walk-in tours; conduct tour and complete inquiry form. Create and maintain You've Got Leads database and files. Conduct regular and routine inspections to ensure building and grounds are safe and clean at all times. Follow-up on all recommendations and maintenance needs made during inspections. Ensure all new resident paperwork is complete and distributed appropriately prior to move-in. Report all accidents and incidents you observe or that may be communicated to you and complete required documentation. Admission, Transfer, and Discharge Functions Ensure that all unoccupied rooms are ready to be viewed by prospective residents. Welcome new residents and orient the resident and family of operating practices per New Beginnings program. Ensure new residents are properly introduced to the staff and residents. Assist new residents and their families, if needed, during move-in. Assist residents with packing when they are being discharged, if requested, or if admitted to hospital. Assist with resident with loading/unloading as necessary. Marketing Serve as chief marketing officer for the community. Promote a positive image of the community throughout the market area. Build contacts and prospects for new residents in the community in a professional manner. Maintain and report proper documentation of marketing efforts in accordance with company policy. Develop and implement marketing plan. Coordinate tours, special programs, and other events to give exposure of the community to targeted referral sources. Train staff with techniques of selling and capturing prospective residents from in-coming call and walk-in prospects. Responsible for all follow-up correspondence of prospective residents and/or families that have visited or called the community for information. Promote team atmosphere within the community to assure teamwork efforts are emphasized in marketing, leasing, evaluating prospective and appropriate retention of residents. Personnel Functions Assist in the orientation/training of new employees. Follow work assignments, and/or work schedules in completing and performing your assigned tasks. Perform all assigned tasks in accordance with our established policies and procedures, as instructed by your supervisor. Notify the supervisor when you will be late. Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the workplace. Screens applicants and makes recommendations for hiring to Executive Director. Monitor work performance of staff and follow disciplinary code as outlined in company policy. Meet with direct report employees on a regularly scheduled basis to assist in identifying and correcting problem areas and/or the improvement of services. Meet with your supervisor on a regularly scheduled basis to assist in identifying and correcting problem areas, and/or the improvement of services. Personal Care Functions Assist in transporting residents to/from appointments, activities and social programs, as necessary. Assist residents, family members or other clients with concern and empathy; respect their confidentiality and privacy and communicate with them in a courteous and respectful manner. All employees must be able to safely assist residents with transfers when needed. Employees will be provided on how to safely assist with transfers. All employees must be able to safely assist and direct residents during all emergency evacuations including participation in all drills. Special Care Functions Observe and report any changes in resident condition (including appetite, skin conditions, mental status, etc.) Staff Development Attend and participate in scheduled training and educational classes. Attend and participate in scheduled orientation programs and activities. Safety & Sanitation Notify the supervisor of any residents leaving/missing from the residence. Keep floors dry. Clean-up spills immediately. Keep excess supplies and equipment off the floor and properly stored. Follow established smoking regulations. Report all violations. Report all hazardous conditions and equipment to the supervisor immediately. Follow established safety precautions in performance of all duties. Report all safety violations. Before leaving work area for breaks or at the end of the work day, store all equipment and supplies. Wash hands before and after performing any service for the residents. Perform routine housekeeping duties. Report any communicable or infectious disease that you contract to the Director immediately. Equipment & Supply Functions Use only the equipment you have been trained to use. Operate all equipment in a safe manner. Use only the equipment and supplies necessary to do the job. Do not be wasteful. Report defective equipment to your supervisor. Inform the supervisor of your equipment and supply needs. Resident Rights Maintain the confidentiality of all resident information. Ensure that you treat all residents fairly and with kindness, dignity, and respect. Ensure that all care is provided in privacy. Knock before entering and the residents' suites. Report all grievances and complaints made by residents to the Director. Working Conditions Works primarily in office area. Sits, stands, bends, lifts, and moves intermittently during working hours. Is subject to frequent interruptions. Is involved with residents, personnel, families, visitors, etc. under all conditions and circumstances. Communicates with other personnel. Works beyond normal working hours, on weekends and holidays, and in other positions temporarily, when necessary. Attends and participates in continuing education programs. Specific Requirements Must possess excellent verbal and written communication skills and public speaking ability. Must possess excellent computer skills. Must possess college degree and/or two years' experience in sales and marketing. Must possess documented sales experience in presenting, qualifying and closing. Must possess the ability to make independent decisions when circumstances warrant such actions. Must possess the ability to deal tactfully with personnel, residents, family members, visitors, and the general public. Must be a minimum of twenty-one (21) years of age. Must possess the ability and willingness to work harmoniously with professional and non-professional personnel. Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult residents, and/or situations. Must be willing to seek out new methods and principles and be willing to incorporate them into existing service practices. Physical and Sensory Requirements (With or Without the Aid of Mechanical Devices) Must be able to move intermittently throughout the working day. Must be able to read, speak, and write the English language in an understandable manner. Must function independently and have flexibility, personal integrity, and the ability to work effectively with residents, personnel, and support agencies. Must be able to relate to and work with the elderly, emotionally upset, and, at times, hostile people. Must be able to lift, push, pull and move a minimum of 15 pounds. Must be able to assist in the evacuation of residents.
