Lead ESC Region 11's marketing and event coordination efforts while managing OnTrac contract and registration processes, front office support functions, and stakeholder communications to ensure effective service promotion, efficient operations, and a high-quality customer experience.

Education/Certification
Bachelor's degree in event planning, marketing, or related field
Master's degree or professional certification in a related field preferred
Special Knowledge/Skills
Strong organizational, project management, and time-management skills.
Strong written, verbal, public relations, and interpersonal skills.
Ability to work collaboratively with ESC staff, and campus, district, and charter school personnel.
Knowledge of marketing, event planning, registration, and customer service practices.
Ability to coordinate multiple projects, events, and deadlines with accuracy and attention to detail.
Ability to take initiative, solve problems, and exercise sound judgment.
Proficiency in the use of computers and software applications for word processing, spreadsheets, databases, and presentations.
Ability to learn, manage, and improve systems and processes related to contracts, service offerings, registration, and stakeholder communication.
Experience
Five to 10 years of experience in the marketing or event-planning field.
Experience in the education industry preferred.

Coordinate marketing and communication efforts that promote ESC Region 11 services, contracts, events, and organizational priorities.
Plan, coordinate, and oversee assigned events, including logistics, timelines, registration, vendor coordination, sponsorship fulfillment, and on-site execution.
Develop and maintain event planning documents, timelines, checklists, communication plans, and related records to support successful event implementation.
Coordinate the annual contract and service update process in OnTrac in collaboration with internal departments and service owners, and support effective communication of contracts and services to LEAs, superintendents, and other stakeholders.
Serve as the primary resource for OnTrac-related processes, administration, troubleshooting, training, and continuous improvement, and maintain working knowledge of system functionality and related workflows.
Supervise and support front office staff responsible for reception, registration, attendance tracking, recordkeeping, and customer service functions, ensuring accurate, timely, and high-quality service delivery.
Oversee workshop and event registration processes, attendance reporting, profile account support, invoicing documentation, and related records in coordination with front office staff and the Business Office.
Provide oversight and support for front-facing communication and customer service, including responding to questions regarding events, registration, contracts, profile accounts, and general service information.
Review and approve event plans and support coordination of event-related communication, logistics, and stakeholder follow-up.
Develop and present training materials and guidance for internal staff related to OnTrac, registration processes, event procedures, and customer service expectations.
Serve as liaison between users and the Technology department to improve technical support, system functionality, and user experience.
Evaluate processes and recommend improvements related to event planning, registration, contract coordination, sponsorships, stakeholder communication, and software/system use.
Provide coordination and support for the Employee Engagement Committee, including planning, communication, logistics, and implementation of employee engagement initiatives and events.
Participate in interdepartmental teams and collaborative projects to improve internal operations, support ESC goals, and strengthen service to the region.
Maintain positive public relations with ESC staff, school district employees, agency personnel, vendors, sponsors, and other external stakeholders.
Provide backup support for reception, registration, and related front office functions as needed to maintain continuity of operations.
Perform other duties as assigned.
Supervisory Duties
Supervises and evaluates front office receptionists. Equipment/Specialized Software Used
Computers, projection devices, control panels in meeting rooms, printers, productivity software, software specific to the job assignment, network resources, internet resources, and other hardware and software necessary to perform the functions of the job effectively and efficiently.

Mental:
Public relations and people skills are always required, work with frequent interruptions, and maintain professional composure and confidentiality under stress.
Physical:
Occasional prolonged and irregular hours, ability to move tables and chairs, and load/unload boxes and materials. Prolonged use of a computer. Infrequent regional and state-wide travel.

Annual performance evaluation will be performed in accordance with the adopted policies of the Education Service Center Region 11. Employment in this position is contingent upon performance, need, and funding.
