Administrative Support Assist with administrative and operational tasks as needed. At the beginning of each year, create and organize the company calendar, including birthdays, holidays, marketing promotions, and key events. Share this calendar with the internal team and sales representatives. Add all office closures to the Microsoft calendar and ensure they are shared with the entire office so employees can add them to their personal calendars. Marketing & Communications Design marketing materials using Canva, including newsletters, flyers, posters, and presentations. Create newsletters to inform retailers about: New brands New products Promotions Discontinued products Restocked items Trade shows and events Send newsletters through Faire and Flodesk. Create a monthly internal newsletter for the team and sales representatives outlining important updates and initiatives for the month. Print & Promotional Materials Develop and update flyers, posters, and presentations for new brands or existing product lines. Coordinate with printing companies to order marketing materials such as flyers, posters, cards, and stickers. Brand Onboarding & Asset Management Onboard new brands by collecting marketing and product assets, including: Images and videos Product information spreadsheets Brochures, flyers, and posters Press releases SDS documents Any other relevant materials Create brand order forms using the information provided by the brand. Maintain communication with brands throughout the year to collect updated assets for marketing materials, Faire pages, and promotional content. Faire Platform Management Create and maintain a dedicated Faire page for each brand.

Regularly update Faire pages with:

Product images Collections Product descriptions Accurate inventory quantities Adjust quantities when items are low in stock, out of stock, or restocked. Update collections and descriptions frequently, especially during holidays, seasonal promotions, or when new items are introduced. Set up and manage promotions on Faire. Retailer Support Assist new and existing retailers by providing information about brands and products. Provide retailers with marketing assets they may need for their stores or websites. Customer Data & Newsletter Management Each week, export customer lists from each Faire account and clean the data in Excel. Upload the cleaned customer list to other brand accounts on Faire to expand retailer outreach. Upload all customer contacts to Flodesk to maintain the company's external newsletter database. Trade Show Coordination Register the company for trade shows and ensure all payments and deadlines are met. Track and schedule important show-related tasks such as ordering fixtures, packing materials, and shipping. Add all trade show deadlines and preparation dates to the company calendar. Contact customers who attended past shows before upcoming events to confirm if they will attend. Follow up with customers and leads after shows to share brand information and continue building relationships.
