Position Overview The Professional Education and Marketing Operations Specialist is responsible for the coordination and execution of professional education and speaker programs, supporting the successful delivery of approximately 200+ programs annually. This role serves as a key cross-functional partner to Medical Affairs, Marketing/Brand Management, Legal/Compliance, Sales Operations, and Training to ensure programs are strategically aligned, compliant, and executed effectively. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple programs, stakeholders, timelines, and competing priorities in a fast-paced environment.
Requirements:
Duties and Responsibilities Speaker Program Management Coordinate the planning and execution of approximately 200+ speaker programs, including customer-facing dinner programs, symposiums, webinars, and other professional education events. Manage the end-to-end program coordination process, ensuring all stakeholders have the information, materials, and resources needed for successful execution. Oversee the speaker roster and proactively connect qualified speakers with relevant speaking opportunities based on expertise, availability, and program needs. Partner closely with Medical Affairs and Legal/Compliance to maintain and ensure the accuracy and integrity of the speaker database, including areas of expertise, availability, contact information, and other required documentation. Coordinate program approvals, logistics, communications, and execution while ensuring adherence to company policies and applicable compliance requirements. Serve as a central point of contact among speakers, customers, internal stakeholders, vendors, and other partners to facilitate seamless program execution. Coordinate and track speaker presentation deck review and approval processes in partnership with Medical Affairs, Marketing, Legal, and other appropriate stakeholders. Ensure approved presentation materials are available to speakers within required timelines and that appropriate version control is maintained. Program Feedback and Reporting Manage surveys and feedback collection for the speaker bureau program. Monitor program feedback and coordinate the collection, organization, and reporting of program insights. Identify recurring feedback and opportunities to improve the speaker program experience and operational processes. Cross-Functional Marketing, Training & Sales Support Cross-train on conference coordination and assist with conferences as needed. Serve as the back-up for tradeshow coordination and attend tradeshows as needed. Partner with Marketing/Brand Management and Medical Affairs to ensure speaker programs support brand strategy, educational objectives, and compliance requirements. Collaborate cross-functionally to coordinate successful execution of events, including symposiums, dinner programs, webinars, and other professional education initiatives. Support Training and Sales Operations in the preparation and execution of National Sales Meetings, new-hire training meetings, brand team meetings, and regional sales meetings as needed. Assist with event logistics, supply ordering, meeting materials, communications, and on-site support for internal and external meetings. Maintain clear communication with cross-functional stakeholders to ensure deadlines, deliverables, and responsibilities are understood and met.

Customer & Speaker Focus:
Creates a positive, professional experience for speakers, customers, and internal stakeholders. Requirements Bachelor's degree in Marketing, Communications, Business Administration, Event Management, or a related field preferred. 3+ years of experience in marketing operations, event coordination, professional education, pharmaceutical/medical device/healthcare marketing, or a related field. Experience coordinating multiple programs or events simultaneously. Strong organizational and project management skills with exceptional attention to detail. Excellent written and verbal communication skills. Ability to collaborate effectively with cross-functional teams, including Marketing, Medical Affairs, Legal/Compliance, Sales, and Training. Ability to manage competing priorities and meet deadlines in a fast-paced environment. Proficiency with Microsoft Office Suite, particularly Excel and PowerPoint. Experience working with speaker bureaus, HCP programs, compliance processes, or healthcare-related events is a plus. Work Environment Indoors, in an office environment, with temperature control. No adverse environmental conditions expected. 0-25% travel Physical Demands Sedentary work.
