This role manages the practice's digital presence, supports front office operations, assists physicians with administrative projects, and coordinates office activities. Scheduling and calendar management are performed as assigned in support of practice operations. The Front Office & Social Media Coordinator is expected to follow established policies and procedures, maintain confidentiality, demonstrate professionalism, complete tasks accurately, and escalate issues appropriately. This position contributes to the efficiency, organization, marketing visibility, and overall effectiveness of the practice. Essential Functions Marketing & Social Media Manage the practice's social media presence, including content planning, creation, scheduling, and engagement across multiple platforms. Create and distribute marketing communications, including email newsletters, promotional materials, and digital content. Maintain and manage the practice's website, online store, and digital marketing platforms, including product listings, promotions, and content updates. Monitor online reviews, social media messages, and patient feedback, escalating concerns when appropriate. Support marketing initiatives by maintaining promotional materials and tracking campaign performance. Front Office & Operations Provide administrative support for daily office operations, including vendor coordination, office supply management, filing, and event preparation. Coordinate representative visits, provider lunches, meetings, and other office-related activities. Assist with operational projects and other administrative responsibilities as assigned. Provider Support Provide administrative support to physicians, including travel arrangements, correspondence, continuing education tracking, CV maintenance, and special projects. Assist with provider requests, meetings, charitable initiatives, and other administrative needs. Scheduling & Calendar Coordination Assist with provider scheduling, calendar management, meetings, trainings, and other scheduling-related tasks as assigned, while ensuring accuracy and adherence to established protocols. Communication & Professional Conduct Coordinate and communicate effectively with physicians, leadership, staff, vendors, and external partners. Communicate professionally with physicians, staff, vendors, and patients. Maintain confidentiality, exercise sound judgment, and escalate concerns appropriately. Perform all duties in accordance with established policies, procedures, and practice standards. Required Qualifications High school diploma or equivalent Valid driver's license One year of marketing or social media management experience Proficiency in Microsoft Office and/or Google Workspace Ability to maintain confidentiality and professionalism Preferred Qualifications Associate's or bachelor's degree One to two years of administrative or office support experience Healthcare or medical office experience Knowledge, Skills, and Abilities Strong organizational and time-management skills Ability to follow established procedures and instructions Effective verbal and written communication skills Strong writing, content creation, and social media skills Attention to detail and accuracy Ability to multitask and adapt to changing priorities Dependability, accountability, and professionalism Work Environment & Physical Requirements Professional medical office environment Frequent interaction with physicians, staff, vendors, and patients Ability to sit, stand, walk, and move throughout the office as required Ability to lift and carry items up to 20 pounds as needed Ability to perform repetitive tasks such as computer and phone use Performance Standards Timely and accurate completion of assigned duties Consistent, high-quality social media, marketing, website, and online store management Adherence to policies, protocols, and escalation procedures Professional communication and conduct Responsiveness to supervision and feedback Reliability and attendance Acknowledgment This job description is intended to describe the general nature and level of work performed.
