This position fits a Medical Assistant who moves fast without cutting corners, documents cleanly, and follows protocols every time. This position does not fit someone who runs late, misses shifts, avoids checklists, or leaves loose ends for the next person. MISSION Keep the surgeon on time and keep patients cared for by owning clinic flow, room readiness, and accurate same-day documentation.

WHAT THE WORK LOOKS LIKE

Support consults, follow-ups, and in-office procedures. Prep rooms and supplies before each patient, then reset fast after each visit. Scribe in the EHR during visits and procedures, close charts same day. Process instruments and complete autoclave logs with zero missed steps. Return patient messages and post-op tasks per protocol, escalate red flags fast.

SUCCESS BY DAY 90

Rooms stay stocked to par levels daily, no core item stockouts. Room turnover stays under 5 minutes between patients. Same-day chart closure reaches 95 percent or higher. Sterilization workflow and documentation stay complete every day. Patient task follow-up closes same day per protocol.

RESPONSIBILITIES

Clinical flow and patient support Escort patients to and from rooms. Obtain medical history, chief complaint, and screening items to prepare for provider exam. Assist with positioning, dressing support, and basic physical needs during visits. Present to the provider and assist during exams. Provide patient education and instructions per provider direction, including medications, wound care, and post-visit guidance. Return patient phone messages per provider instructions and document actions. Documentation and coordination Scribe for the provider in the electronic health record during visits and procedures. Complete lab paperwork, track items sent, and file results. Communicate test results to patients per provider direction and document actions. Report daily to office leadership on pending tasks, upcoming appointments, and blockers. Procedure and room support Set up rooms for procedures, prep skin per protocol, and assist during procedures. Maintain sterile field, including draping and instrument handling. Apply dressings and support post-procedure room breakdown. Clean, reset, and prep rooms for the next patient, maintain room appearance and readiness. Sterilization and equipment Clean and sterilize instruments and equipment per protocol. Operate the autoclave, run required tests, and document performance checks. Inventory and supplies Stock exam and procedure rooms to par levels and maintain organization. Order supplies, receive deliveries, rotate stock, and keep storage areas clean. Office support and teamwork Cross-cover front desk needs during peak times. Perform filing and copying as needed. Complete other duties assigned by office leadership.

REQUIREMENTS

Full-time, in-office in Herndon 2+ years Medical Assistant experience required. Procedure-heavy clinic experience strongly preferred (plastics, derm, ENT, outpatient surgery). Certified Medical Assistant (CMA) preferred. If not CMA, must have 3+ years MA experience with strong references. Sterilization and instrument processing experience required, including autoclave and spore testing, logs, and corrective steps when a test fails. Comfort scribing in the EHR during visits and procedures. Must document accurately and close charts same day. Comfort with a fast clinic pace, frequent room turnover, and maintaining par levels without reminders. Able to stay past 5:00 pm if clinic runs late (30-60 minutes) Reliable attendance required. Zero unexcused absences in the first 60 days. Must follow protocols and policies, including device and communication policies. No work messaging apps on personal devices unless explicitly approved. Professional appearance, calm communication, and patient-first service mindset.

PREFERRED

Sterile processing and autoclave experience. Experience in plastic surgery, dermatology, ENT, or another procedure-heavy practice. Medical Spanish.

HIRING PROCESS
