Job Description
QUALIFICATIONS
Licensed Practical Nurse (LPN) or Registered Nurse (RN) with a current Pennsylvania license in good standing. Valid Pennsylvania driver's license. Current criminal background clearances (Act 33/Act 34, if applicable). Current physical examination verifying the individual is free from communicable disease and able to perform the essential job functions with or without reasonable accommodation. Strong organizational and time management skills. Excellent communication and interpersonal skills. Ability to train and educate staff effectively. Positive, solution-oriented attitude with the ability to think creatively and proactively. Interest in continuous learning and teaching others. Experience working with individuals with Intellectual and Developmental Disabilities (IDD) is strongly preferred. Demonstrates a caring, compassionate, and respectful approach when working with individuals served, families, and coworkers. Attention to detail and accuracy. Immediate Supervisor Program Specialist, in conjunction with the Executive Director. Position Summary The Medical Compliance Coordinator is responsible for overseeing all medical and health-related services for individuals receiving services. This position ensures compliance with Chapter 6400 and 6100 regulations, Office of Developmental Programs (ODP) requirements, and agency policies and procedures. Responsibilities include coordinating medical appointments, monitoring medication compliance, maintaining health records, training staff, and leading quality management initiatives. Essential Duties and Responsibilities A. Regulatory Compliance and Health Oversight Ensure compliance with all health- and medication-related sections of Chapter 6400 regulations.Coordinate and monitor completion of:
Annual physical examinations Mammograms, gynecological and prostate exams as applicable Immunizations and other recommended screening tests Annual vision and hearing examinations Dental examinations, treatment, dental hygiene plan All recommended follow up appointments Quarterly psychotropic medication reviews Ensure refusals of treatment are properly documented and desensitization training is implemented when necessary. Maintain and update each individual's lifetime medical history and medication update form. Monitor health promotion recommendations, risk mitigation strategies, medication regimens, and required laboratory testing.Ensure annual physical examinations include:
Physical limitations Allergies and contraindicated medications Emergency treatment information Special diets and food consistencies Coordinate medical, nursing, pharmaceutical, dental, dietary, and psychological services as prescribed. Maintain current Emergency Medical Plans and Medical Information Records. Ensure medications are stored, labeled, administered, and documented in accordance with regulations and physician orders. Train staff in specialized medication administration, including: Feeding tubes Non-oral medication routes Provide Appendix G training related to medical conditions upon hire and annually. Train and monitor Medication Administration certification requirements in accordance with ODP standards. Update Health Risk Screening Tool (HRST) information in accordance with agency policy. Review monthly Medication Administration Record (MAR) packets and file appropriately. Oversee submission and tracking of MA-51 annual physical forms for recertification. Promote infection control and prevention of communicable diseases. B. Health Documentation and Medical Coordination Complete quarterly medication reviews and provide medical information for Individual Support Plans (ISPs). Prepare and update Individual-Specific Training (IST) binders when changes occur or at least annually and obtain staff acknowledgment. Ensure all medical, psychiatric, dental, therapy, and specialty appointments are scheduled and attended. Oversee staff to prepare monthly appointment packets and required documentation. Educate staff on new treatment plans, medications, and diagnosis. Document all appointments, treatment recommendations, and medication changes.Ensure accurate completion of:
Treatment logs Seizure records Blood glucose logs Other health-related documentation Educate and train staff on proper completion of appointment and health-related paperwork. Oversee and coordinate all hospital admissions and discharges. Attend staff meetings when required. Serve as a point person for incident management and ensure timely submission of incident reports. Complete ODP surveys and compliance documents related to health and sexuality. C. Quality Management and Investigations Complete and maintain Certified Investigator status and conduct investigations as assigned. Create and monitor correction actions and Risk Mitigation plans. Complete and maintain Quality Management certification. Lead the agency's Quality Management Team. Prepare and submit quarterly Quality Management reports. General Responsibilities A. Dependability and Accountability Reports to work on time and as scheduled. Submits vacation requests in a timely manner and in accordance with agency policy. Uses sick time appropriately and follows agency call-off procedures. Completes assigned tasks and follows through on recommendations promptly. Adheres to all agency policies, procedures, and regulatory requirements. Demonstrate strong organizational skills to ensure timely completion of all assigned duties and compliance responsibilities. Performs additional duties as assigned to support agency operations. B. Professional Conduct and Communication Interacts with individuals served, families, agency personnel, governmental entities, support agencies, and members of the community in a positive, supportive, and cooperative manner. Maintains a positive attitude regarding the agency, individuals served, and coworkers. Identifies and completes related tasks that may not be specifically outlined in the job description but are necessary to fulfill the responsibilities of the position. Maintains a professional appearance and demeanor appropriate to the duties performed. Responds effectively and appropriately to crises and urgent situations arising during daily operations. Maintains strict confidentiality regarding individuals served, employees, and agency information in accordance with HIPAA and agency policies. C. On-Call and Availability Responsibilities Participates in the agency on-call rotation, including weekends and holidays, as assigned. Remains available by telephone during non-working hours to provide guidance regarding medical concerns as needed. Attends and/or assists with significant medical appointments when required. Provides consultation and support for residential staff regarding health-related issues during on-call periods.Job Type:
