Schedule:
Monday-Thursday, daytime hours; exact schedule based on office needs About Us TSG Behavioral Health & Community Services and TSG Health & Wellness provide integrated behavioral health and medical services to individuals and families in the Elizabethtown / 910 region. We are looking for a dependable, organized, and professional Medical Office Assistant / Intake Specialist to support both our medical services and behavioral health intake process. This is a part-time position with the opportunity to grow as the office and service demand increases. Position Summary The Medical Office Assistant / Intake Specialist will help patients and clients get connected to the right services. This role supports medical intake, behavioral health intake, appointment scheduling, Medicaid/insurance checks, medication list collection, refill request coordination, lab coordination, and follow-up communication. This position supports the PA/provider and intake process but does not diagnose, prescribe, approve medications, give medical advice, provide therapy, or make clinical decisions. Primary Responsibilities Answer incoming calls and respond to client/patient inquiries. Complete medical and behavioral health intake information. Schedule medical, behavioral health, DWI, substance use, and class appointments. Verify Medicaid/insurance eligibility when needed. Collect patient demographics, insurance information, medication lists, allergies, pharmacy information, and basic medical history. Assist with medication refill requests by gathering information and routing requests to the PA/provider for review. Assist with lab coordination, including preparing lab information for provider review and sending approved lab orders when directed. Follow up with patients about appointments, paperwork, lab needs, and incomplete intake steps. Help clients understand self-pay or sliding scale payment expectations. Track leads, referrals, pending intakes, and follow-up needs. Upload and organize documents in the appropriate system. Communicate professionally with clients, patients, providers, staff, and community partners. Route clinical questions to the appropriate licensed provider or supervisor. Maintain confidentiality and follow HIPAA standards at all times. Perform other duties as assigned to support office operations, medical intake, behavioral health intake, scheduling, provider support, and client/patient follow-up. Important Role Boundaries This position does not : Diagnose medical or behavioral health conditions. Give medical or mental health advice. Approve or deny medications. Choose medication type, dosage, or refill amount. Interpret lab results. Decide medical necessity. Make clinical program eligibility decisions. Provide therapy or clinical counseling. Handle crisis situations outside of approved agency protocols. All medication, lab, treatment, and clinical decisions are handled by licensed providers.
Qualifications Required:
High school diploma or GED. Healthcare, medical office, intake, front desk, CNA, pharmacy, or administrative experience preferred. Strong communication and customer service skills. Comfortable using computers, phones, email, and electronic systems. Ability to collect accurate information and document clearly. Ability to handle confidential information professionally. Reliable attendance and punctuality. Strong attention to detail. Ability to follow instructions and ask questions when unsure. Professional, respectful, and patient-centered attitude.
Preferred:
CNA, CMA, RMA, pharmacy tech, medical office, or healthcare intake experience. Experience with Medicaid or insurance verification. Experience with electronic health records. Experience supporting a PA, NP, physician, therapist, or behavioral health provider. Experience with medication lists, pharmacy coordination, refill requests, or lab coordination. Experience working with behavioral health, substance use, or community-based services. Ideal Candidate The ideal candidate is dependable, organized, teachable, and comfortable working in both a medical and behavioral health setting. This person should be able to follow checklists, communicate clearly with patients and clients, document accurately, and avoid guessing when something needs provider review. We are looking for someone who can help make the intake process smoother, support the PA/provider, and help clients in the Elizabethtown / 910 area get connected to care.
Pay:
$15.00 - $18.00 per hour
