Job Description

Overview We are seeking a dedicated and experienced Medical Office Manager to oversee the daily operations of our medical facility. This role requires a strong background in medical management and familiarity with various healthcare software systems. Job description The Office Manager is responsible for all day-to-day operations of the office and helps develop and lead implementation of staffing plans, policies and procedures for the facility and works closely with clinicians to ensure optimal patient outcomes.
Responsibilities:
  • Provide supervision and leadership to the administrative staff and non-physician clinical staff.
  • Maintains appropriate staffing levels and morale
  • Hires, trains, coaches, and evaluates performance of direct reports
  • Monitors employee productivity
  • Ensures that workflows and processes are efficient so that they support the staff and medical center to achieve patient satisfaction and ensure patient retention.
  • Ensure that the policies and procedures of the company are being followed and always enforced.
  • Maintains process and oversees the finances of the clinic billing to ensure timely processing and payments from insurance companies with our outside billing company.
  • Maintains cash controls and making bank deposits
  • Monitor and maintain provider schedules
  • Working with clinicians, administrative staff, payors, ACO's and MSOs to achieve matrix and performance goals.
  • Maintains relationships with ACO's, Health Plans, MSO's and vendors.
  • Attends and coordinates meetings with ACO's, MSO's and Health Plans to ensure compliance with contract requirements.
  • Monitors service quality, management of patient flow and process improvement, continuously evaluating the quality of service provided and identifying opportunities for improvement
  • Ensures compliance with OSHA, HIPPA, Federal, State and Local regulations for continued compliance.
  • Manage inventory of medical and office supplies, and places orders as needed.
  • Ability to cross cover the various administrative positions within the medical center to assist when short staffed.
  • Responsible for reporting payroll, paying bills and maintaining HR policies and practices.
  • Other duties as assigned by leadership
Requirements:
  • This position requires 3-5 years of management experience, in a medical office, as a supervisor or higher position, in all facets of medical business office management.
  • Excellent communication verbal and written communication skills
  • Excellent customer service and ability to solve issues and problems effectively
  • Organizational skills and ability to manage time effectively, plan strategically and juggle multiple duties at the same time
  • Familiarity with medical terminology
  • Medicare Advantage knowledge
  • Proficient with EMR (preferably with eClinicalWorks software), Microsoft Word, and Excel
  • HEDIS Knowledge
  • Bilingual (English and Spanish)
