Job Description

Job Type:
Full- time on-site only Job Details We are seeking a qualified Medical Office Manager to join our outpatient mental health clinic. The Office Manager performs, delegates, and oversees a variety of managerial and administrative duties while working closely with the Regional Manager. The Office Manager is responsible for coordinating all staff activity as well as the maximization of patient flow, productivity, and teamwork. Other duties include, but are not limited to, patient relations, scheduling, account maintenance, payment arrangements, quality management, personnel matters, employee performance, reporting, billing, cash and payment reconciliation, employee work schedules. Responsibilities and Duties Assist with interviewing, hiring and training of new and established team members Work with office staff and doctors on services quality standards and customer service Monitor employee performance and provide performance feedback regularly Coordinate employee weekly/monthly work schedules Review, correct, and approve employee timecards Implement and enforce all legal provisions and Company policies and procedures outlined in the Employee Handbook Monitor production and collections goals on a daily/weekly/monthly basis Maintain accurate patient records, collections data, reconcile collections, daily deposits, and supporting documentation Motivate staff to increase production and maximize their potential Communicate and provide constructive solutions to problems Prepare in-house reports, new patient spreadsheets and/or managerial reports as required Participates and interacts during weekly team meetings Other duties as assigned by the Regional Manager Coordinate with Billing Office Manager when assistance is needed on client billing inquiries
Qualifications:
Experience:
Previous healthcare management required, minimum 3 years.
Bilingual:
Proficiency in Spanish is required . Medical Assistant (back office) Attention to
Detail:
High level of accuracy and attention to detail in all tasks.
Communication Skills:
Strong verbal and written communication skills.
Authorization:
Must be authorized to work in the
USA. HIPAA
Compliance:
Must pass HIPAA training and adhere to all privacy and security regulations.
Competencies:
Technical Skills:
Proficient in using medical software and performing clinical procedures.
Interpersonal Skills:
Ability to work in a team and interact with diverse patient populations.
Problem-Solving:
Capable of handling challenging situations and making sound decisions.
Time Management:
Efficiently manage time and prioritize tasks in a fast-paced environment.
Physical Requirements:
Computer and Phone Use:
Ability to spend prolonged periods on a computer screen, siting, standing, walking, and phone calls
Clinic Environment:
Ability to work in an in-person setting, which may occasionally be hostile due to the nature of mental health care.
